# The reservations list

**Reservations** lists every reservation you have. Use its views, search,
filters and columns to find one, and check **Needs attention** every day.

The **Book reservation** button in the header starts a new one. See
[Booking a reservation for a guest](/daily-operations/book-a-reservation).

## Pick a view

The reservations list has six tabs across the top. It opens on **Upcoming**, the
working view.

| View | Shows |
| - | - |
| **Upcoming** | Future reservations that aren't cancelled or no-showed, soonest first |
| **Today** | Today's reservations |
| **All** | Everything, completed and cancelled included, newest first: the archive |
| **Needs attention** | The triage list (see below) |
| **Completed** | Finished visits |
| **Cancelled** | Cancelled reservations |

### Needs attention

**Needs attention** is the view to check daily. It collects anything
unresolved:

| Shows up as | What it means |
| - | - |
| **Pending payment** | Reservations still in Pending payment |
| **Overbooked** | A slot that filled during someone's checkout. It stays until the reservation is completed, cancelled or marked a no-show. |
| **Payment due** | Money owed and uncollected |
| **Charge failed** | A charge that was declined |
| **Booked after its time** | A reservation paid for after its visit had already ended. It stays until you move it to a new date or cancel it (see [A reservation's page](/daily-operations/reservation-page)). |
| **A saved-card charge held up** | An add-on was added to the guest's Shopify order and Shopify never confirmed the change. The card waits until someone checks the order from the reservation page. |
| **Checked out with the wrong quantity** | The order paid for a different number of guests than the party. It stays until you settle the difference and press **Mark handled** on the reservation (see [A reservation's page](/daily-operations/reservation-page)). |

## Search for a reservation

The search box takes a **code, name, email, phone, or Shopify order number**.
Partial codes work: typing `7K4M` finds `RES-7K4M`.

<AccordionGroup>
  <Accordion title={"If search doesn't find an older visit"}>
    Search looks across the whole reservation history, not just the current view.
    It takes the first **50 matches**, latest visit first. Then it applies your view
    and filters to those 50.

    A very common name may need a more specific search, such as a code or an email,
    to reach an older visit.
  </Accordion>
</AccordionGroup>

## Filter the list

| Filter | Options |
| - | - |
| **Status** | Any of the seven statuses, multi-select |
| **Channel** | Online, Phone, Walk-in, POS |
| **Date** | The visit date: pick a day, or a start and an end day, on a calendar |
| **Booked** | When the reservation was *made* (not the visit date): a range on the same calendar, for questions like "what came in during the campaign week?" |
| **Location** | One of your active locations |

On a date filter, one tap picks the start and a second tap picks the end. The
chosen range shows under the calendar in your store's date format, and
**Clear** removes it.

Applied filters show as pills you can clear one by one, plus **Clear all**.

## Sort and choose columns

**Sort** by visit time, booked time or party size, each newest/oldest or
high/low. You can also click the **Date & time**, **Booked** and **Party**
column headings to sort. Any heading click overrides the view's own order.

Each view opens in its natural direction. The forward-looking tabs are
chronological, with the soonest visit at the top. **All**, **Completed** and
**Cancelled** are newest first.

**Columns** is the icon at the right end of the filter row. It opens a
checklist:

* You can hide **Experience**, **Venue**, **Channel**, **Booked** and
  **Party**.
* **Channel** and **Booked** are off by default.
* **Code**, **Guest**, **Date & time** and **Status** are always on.

The **Booked** column shows when each reservation was made. It's the same fact
the reservation page's Details card shows. Turn it on when you're working by
booking date.

Your column choice is remembered **per device**. The front desk's iPad and your
laptop can show different things.

## Read a row

* **Code**: the reservation's confirmation code.
* **Guest**: with a **Member** badge where the guest is a club member.
* **Experience**, **Venue**.
* **Date & time**.
* **Party**: right-aligned so the numbers line up as you scan.
* **Channel**: how the reservation reached you.
* **Status**: the status badge, with the same progress circle as the
  reservation page. **Overbooked** or a red **Booked after its time** shows
  beside it where they apply.

Click anywhere on a row to open the reservation.

<AccordionGroup>
  <Accordion title={"If you see \"Showing the first 50 — narrow the filters or search to see the rest.\""}>
    The reservations list loads 50 reservations at a time, in the view's order:

    * On **Upcoming**, **Today** and **Needs attention**, that's the **soonest** 50
      by visit.
    * On **All**, **Completed** and **Cancelled**, it's the latest 50.
    * A sort you pick yourself decides instead.

    When the list is full you see:

    > Showing the first 50 — narrow the filters or search to see the rest.

    Use search or the date filter rather than scrolling.
  </Accordion>

  <Accordion title={"What the reservations list can't do"}>
    * **No bulk actions.** You can't select rows and cancel or export them
      together. Every change is deliberate and per-reservation.
    * **No custom saved views.** The six tabs are what there is.
  </Accordion>
</AccordionGroup>

## Export reservations

**Export** sits next to **Book reservation**. It downloads a CSV of full
reservation details. Filter first, then export: that's the workflow.

1. Pick the view, filters and search you want.
2. Press **Export**.
3. Choose a scope:
   * **«N» matching this view and filters** (the default): exactly what you're
     looking at, meaning the current tab, filters and search.
   * **All reservations**: the full book, newest visit first.
4. Open the file. It opens directly in Excel or Numbers.

Exports cap at 5,000 rows, and a capped file says so when it downloads. Narrow
the filters and export again for the rest. The **Booked** range is good for
this.

<AccordionGroup>
  <Accordion title={"What's in the export file"}>
    The CSV has:

    * Guest contacts and party.
    * Guests arrived, when a host recorded who came.
    * Tables.
    * Money: paid, balance, refund owed and fee credit.
    * Special requests, intake answers and add-ons.
    * Every lifecycle timestamp.

    It also has staffing columns the table doesn't show: **Weekday**, **Visit
    end**, **Duration**, and **Lead time** (how far ahead it was booked).

    Typical questions the export answers:

    * Which weekdays run hottest: pivot on Weekday × Guests.
    * How far ahead Saturdays fill: Lead time.
    * What the campaign week brought in: Booked filter first, then export.
  </Accordion>
