# What things mean: Reports

This page covers everything you can see on **Reports**: the **Overview** tab
(filter buttons, the row of headline figures, the main chart, the money card,
the cards, the Experiences table and Peak hours) and the **Upcoming** tab
(the horizon, its three figures, its chart, its Experiences table and the
Day by day list), plus the chart menus and the Export button.

## Reports › The page

### What is the difference between the "Overview" and "Upcoming" tabs?

**Overview** looks back: it shows what happened over a range of past days
you pick. **Upcoming** looks forward: it shows what is on the books from
today through the next 7, 30 or 90 days, always counted by the day of the
visit. Nothing on either tab mixes past and future, so a figure is never half
history and half forecast.

**See also:** [What each report answers](/reports/what-each-report-answers)

### What does Reports count, and what does it leave out?

Reports counts reservations Riserva knows about and the money tied to them:
experience fees, add-ons, balances paid at the counter, and what was kept on
cancellations and party-size changes. Wine sold at the counter, shipping and
club renewals are not here; those are in Shopify's own analytics.

**See also:** [What each report answers](/reports/what-each-report-answers)

### Why can I bookmark or share a view of Reports?

Every choice you make on the page (tab, range, comparison, location, lens,
experience, which figure the chart shows) is saved in the page's address.
Copy the address and a colleague opening it sees exactly the same view.

### What does the sentence at the bottom of Reports mean?

It is a short reminder of how the page works, and it follows the lens. By
visit date it reads "Overview counts each reservation on the date of its
visit"; by booking date it reads "Overview is counting each reservation on
the day it was booked (the lens above)". Either way it goes on to say that
Upcoming shows what is booked ahead and that today's service is run from
Host, not from Reports.

**See also:** [Running service with the Host view](/daily-operations/host-view)

## Overview › Filter row

### What is the row of buttons at the top of the Overview?

It is the filter row: date range, Compare to, location (only with more than
one location), granularity, and the lens ("By visit date" or "By booking
date"). The buttons have no labels because each button shows its current
choice. The row stays pinned at the top of the page as you scroll, and every
figure below follows it.

**See also:** [What each report answers](/reports/what-each-report-answers)

### What date ranges can I pick?

Today, Yesterday, Last 7 days, Last 30 days (the default), Last 90 days,
Month to date, Last month, or your own dates. "Last 7 days" and the other
"Last" ranges end today and include today. "Last month" is the whole
previous calendar month; "Month to date" runs from the 1st of this month
through today.

### How do I pick my own dates?

Open the date button and click two days on the calendar, or type the dates
in the two boxes (as YYYY-MM-DD), then press **Apply**. Touching the
calendar or the boxes turns the choice into a custom range on its own; the
button then shows the dates instead of a preset name. **Cancel** closes the
picker without changing anything.

### Why can't I pick a date in the future?

The Overview looks back only, so days after today are greyed out ("Past dates
only, up to 92 days."). To see reservations that are still ahead, open the
**Upcoming** tab.

### Why is my range limited to 92 days?

Every Overview figure is worked out within a window of at most 92 days. If a
longer range is asked for, the page keeps the last 92 days and says so under
the filter row.

### Whose "today" does the Overview use?

Today is read in the time zone of the location you picked. With "All
locations", it is the first location's today (alphabetically). Every
reservation still counts on its own property's local date; only the day the
ranges end on comes from that one zone.

### What does "Today is \<location>'s today." mean?

Your locations are in different time zones and no single location is picked,
so "today" is one property's today, and the note names which. Late in the
evening one property may already be on tomorrow. Pick a location to make the
range follow that property's own day.

### What do the "Compare to" choices mean?

"Previous period" compares to the same number of days just before your range
(the default). "Previous year" compares to the same dates a year earlier.
"Same day last week" compares a single day to the same weekday a week earlier
(the default for Today and Yesterday). "No comparison" turns the comparison
off, which removes every change readout and the dashed line.

### What does the "Compare to: Sep 1 – Sep 30, 2026" button show?

It names the exact dates the page is comparing against. Every change readout
on the page compares your range with those dates.

### What does "Compare to: nothing in …" mean?

The comparison dates have no reservations at all, not even cancelled ones,
so there is nothing to compare with. The page then shows no change readouts
and no dashed line, and the chart subtitle says "nothing to compare to in …".
Pick another comparison, or wait until you have history for those dates.

### Why is "Same day last week" missing from Compare to?

It is offered only when the range is a single day (Today, Yesterday, or one
custom day). On a longer range, going back a week would overlap the range
itself. If an old link asks for it on a longer range, the page uses Previous
period and says "Same day last week applies to a single day, so this
compares to the previous period."

### What does "Compared with the same days of the month before." mean?

With "Last month" or "Month to date" and Previous period, the comparison is
calendar months, not a plain count of days. Last month is compared with the
whole month before it; Month to date with the previous month from its 1st
through the same day number.

### What does "Shifted by whole weeks so each week lines up with the same weekdays." mean?

You are viewing by week, so the comparison moves back in whole weeks (52
weeks for Previous year). That way week 1 of your range sits beside a week
that starts on the same weekday, and the two lines compare like with like.

### What are the "Hourly", "Daily" and "Weekly" choices?

They set how the charts group time: one bar or point per hour, per day or per
week. "Auto" (the default) uses hourly for a single day and daily for
anything longer. The button always shows what the charts are actually using,
so it reads "Hourly", "Daily" or "Weekly", never "Auto".

### Why is "Hourly" missing from the granularity choices?

Hourly is offered only for a single day. Over several days the charts group
by day or week.

### Why does a week on the chart read "Sep 3–Sep 7" instead of one date?

That week is only partly inside your range, so it holds fewer than seven
days. The label shows the days it actually covers so it is not mistaken for a
full week. Full weeks are labelled by their Monday.

### What does the location button do?

It narrows every figure to one property, or shows "All locations". It
appears only when you have more than one active location.

**See also:** [Locations and venues](/getting-started/locations-and-venues)

### What is the difference between "By visit date" and "By booking date"?

It decides which reservations the whole Overview is about. "By visit date"
(the default) counts each reservation, and its money, on the day of the
visit: what happened on the property. "By booking date" counts each
reservation, and its money, on the day it was made, whatever day the guest
visits; that is the same day Shopify counts the order, so it lines up with
Shopify's order figures and shows whether a promotion brought in reservations.

**See also:** [What each report answers](/reports/what-each-report-answers)

### What changes on the page when I switch to "By booking date"?

Every headline figure, the main chart, the money card, the cards, the
Experiences table, Peak hours and the export switch to reservations made in
the range. On top of that: Outcomes gains an "Upcoming" bar for reservations
whose visit is still ahead, the Experiences table's Utilization reads "—",
and Outcomes, the Experiences table and Peak hours carry a short note at the
bottom saying what changed.

### What does NOT change when I switch to "By booking date"?

The cards still describe each reservation as it is: Peak hours shows the day
and hour of the visit, Lead time still measures from when it was made to the
visit, and Party size and channels are unchanged. The Waitlist card does not
follow the lens at all: it counts parties by the day they joined the
waitlist. The Upcoming tab is always by visit date.

### What does "Default" next to "By visit date" mean?

"By visit date" is what the Overview opens on. "By booking date" is one click
away and is remembered in the page's address, not as a setting.

### What is the "Only \<experience>" button with an ×?

You clicked a row in the Experiences table, so the whole page now counts
that one experience alone. Click the button (the ×) to bring the whole shop
back. The choice also applies on the Upcoming tab.

### What do the notes under the filter row mean?

They explain when the page changed the dates in the address: "Those dates
could not be read, so this shows the last 30 days.", "The start came after
the end, so the two were swapped.", "Reports look back only, so the range
ends today." and "A range can cover up to 92 days, so this keeps the last
92." These usually come from an old or hand-edited link. Nothing is wrong
with your data.

### What does "Could not load … just now — reload to try again." mean?

One or more cards (for example Peak hours, Experiences, Waitlist, Fee
credits, First-time vs returning or Members) failed to load this time, so
they show empty while the rest of the page is correct. Reload the page. If
the same card keeps failing, contact support.

## Overview › Headline figures

### What is the row of figures above the chart?

Five headline figures: Reservations, Covers, Collected revenue, No-show rate and
Cancellation rate. Each one is also a tab: click it and the chart beneath
shows that figure over time. The selected one is shaded with a bold label.
Hover a label (it has a dotted underline) to read exactly what it counts.

### What does "Reservations" count?

The number of reservations with a visit in the range ("By visit date"), or
made in the range ("By booking date"). Cancelled reservations are not
counted; no-shows are, and so are reservations still waiting for a bank or
manual payment.

### What are "Covers"?

Covers are guests across the same reservations the Reservations figure
counts. A party of four is one reservation and four covers. It is the number
that matters for staffing. By visit date, a party that came (checked in,
seated or completed) counts the guests a host recorded as here — two, if only
two of the four came — and the whole party when nobody recorded a number;
every other reservation counts its party size. By booking date, every party
size is added up as booked.

### What does the Attendance card show?

Every guest booked in the range (cancellations left out), counted in GUESTS
and split four ways that add up to the whole: **Arrived** (guests of parties
that came — the number a host recorded with **Guests here** or a partial
check-in, else the whole party), **Partial no-shows** (guests missing from a
party that came), **No-shows** (guests of no-show parties) and **Not arrived
yet** (parties still to check in — ahead of their time, or late). The big
number is the **show-up rate** — the share of guests whose visit has come who
actually walked in: Arrived ÷ (Arrived + Partial no-shows + No-shows), with a
line like "show-up rate · 120 of 130 guests came" ("show-up rate · nobody due
yet" before any visit has come). It is worked out the same way on either lens,
over the reservations the lens picks. A party nobody counted at check-in
counts as all here, as the note at the bottom of the card says. The No-show
rate is not affected — a party that came short is still a visit that
happened.

**See also:** [Running service with the Host view](/daily-operations/host-view)

### What does "Collected revenue" count?

The money actually collected for the reservations in the range, add-ons
included, with refunds already taken out. It is the same figure as
"Collected" in the money card. Money still owed (a saved card not charged
yet, a Payment-due balance) is not included; hover the label to see how much
of it there is.

### Does "Collected revenue" include money kept on a cancellation?

Yes. If a cancelled reservation kept part or all of what was paid (a partial
refund, or an all-sales-final policy), that kept money counts as collected,
on the cancelled reservation's date. A reservation refunded in full adds
nothing.

**See also:** [Cancellations and refunds](/daily-operations/cancellations-and-refunds)

### What does the Collected revenue cell's hover text mean?

It names how much of the collected money came from add-ons, then either how much more is
still due (on saved cards not yet charged and on Payment-due reservations),
or "Nothing is left to collect."

### How is "No-show rate" worked out?

No-shows divided by (visits that happened + no-shows). A visit happened once
the party was checked in, seated or completed. Cancellations and visits still
ahead are left out of both sides. "—" means there is nothing to divide by
yet.

### Why does the No-show rate say some past visits are "not in this rate"?

Some reservations whose time has passed were never checked in and never
marked as a no-show, so the page cannot tell whether those guests came. They
are left out of the rate, and the hover text says how many. Check those
parties in or mark them no-show on Host or the reservation page and the rate
becomes complete. To stop it happening, have Riserva mark parties that never
check in as no-shows by itself — a set time after the reservation, or at the
end of the day — in Settings › Reservations › No-shows.

**See also:** [Running service with the Host view](/daily-operations/host-view)

### Why is my No-show rate 100% (or very high)?

Usually because few parties in the range were checked in. The rate only
counts visits that were checked in, seated or completed against no-shows, so
one no-show with nobody checked in reads 100%. Hover the label to see how
many past visits were never resolved. If your store marks no-shows
automatically (Settings › Reservations › No-shows) but your team rarely
presses Check in, parties that did come are counted as no-shows too — check
parties in as they arrive.

### How is "Cancellation rate" worked out?

Cancellations divided by every reservation with a visit in the range (or
made in the range, "By booking date"), cancelled ones included. No-shows and
reservations awaiting payment are in the total too.

### Why does a percentage show "—"?

There is nothing to divide by: for example no visit has been checked in or
marked no-show yet, so a no-show rate cannot be worked out. A dash is never a
zero.

## Overview › Change readouts

### What do the small arrows and coloured numbers next to a figure mean?

They compare the figure with the "Compare to" dates. The arrow shows which
way it moved; the colour says whether that is good: green for better, red
for worse. Counts and money compare as a percentage ("12%").

### Why is a falling number green on No-show rate and Cancellation rate?

For those two, lower is better, so a drop shows in green and a rise in red.
Everywhere else, up is green and down is red.

### What does "pts" mean next to a rate?

Percentage points. Rates are compared by subtracting one from the other, so
going from 10% to 12% reads "2 pts", not "20%".

### What does a short grey dash next to a figure mean?

No change: the figure is the same as in the comparison dates (after
rounding), or it was zero both times.

### Why does a figure have no arrow at all?

There is nothing to compare it to: the comparison dates had none of it (a
change from zero has no percentage), "No comparison" is selected, or the
comparison dates were empty altogether. A missing readout is never a hidden
zero.

## Overview › Main chart

### What does the chart under the headline figures show?

The figure you selected above it, over time: "\<figure> over time". The
subtitle says how it is grouped ("By day of the visit", "By hour", "By week"
and so on) and which dates it is compared against. Reservations and Covers
draw as blue bars; Collected revenue draws as a blue line ("Collected revenue
over time"). Hover anywhere to read the
values for that day or hour.

### What is the dashed grey line on the chart?

The comparison: the same figure for the "Compare to" dates, lined up so that
day 1 of your range sits beside day 1 of the comparison. The key under the
chart names both date ranges. It is missing when the comparison is off or
the comparison dates were empty.

### What is the "Still due" line on the Collected revenue chart?

A second solid line, in green, showing money not collected yet for
reservations in each day: saved cards waiting to be charged and Payment-due
balances. It appears only when something is still due. Collected plus Still
due is the range's Booked value.

**See also:** [Payment policies](/core-concepts/payment-policies)

### Why does the Collected revenue line say "Collected · \<dates>"?

The Collected revenue figure is money collected, so the line is named for
what it draws. "Collected" and "Collected revenue" are the same number on this
page.

### Why is the last bar or point on the chart faded?

That day (or hour, or week) is still in progress: your range runs through
today, so its figure will keep growing. The hover text marks it "in
progress".

### What does "No comparison data for this point" mean?

The comparison dates are shorter than your range, so this day has no partner
to compare with. The rest of the chart still compares normally.

### Why did the chart turn into stacked bars?

You selected No-show rate or Cancellation rate. A rate over time is shown as
"Outcomes over time": for each day (or hour, or week), how many
reservations were visited, no-shows or cancelled. The separate Outcomes card
is hidden while the chart shows it.

### What does "No data" mean in a chart's hover text or table?

There is no number to show for that point. It is different from 0, which
means the figure was counted and came to zero.

## Overview › Chart menus and tables

### What is the three-dot menu in a chart card's corner?

It offers **View as table** and **Download CSV** for that chart. On the
headline card it applies to the chart currently showing.

### What does "View as table" show?

The same numbers as the chart, in a full-screen table: one row per day, bin,
slice or cell, with the comparison beside it when there is one. It has its
own **Download CSV** button and **Close**. It is greyed out when the chart
has nothing to show.

### What is in a chart's "Download CSV" file?

"The figures in this chart, not the reservations behind them": the days of a
line, the bins of a histogram, the slices of a donut, or the Peak hours grid,
busiest first. For the reservations themselves, use the **Export** button in
the page header.

## Overview › Money in this range

### What is the "Money in this range" card?

A ledger that adds up, from what was collected down to "Booked value". The
rows above the first line add up to Collected; Collected plus the Still due
rows adds up to Booked value. Money prints to the cent so the digits line
up. The subtitle says which date it counts by.

**See also:** [What each report answers](/reports/what-each-report-answers)

### What are "Experience fees"?

What reservations that were not cancelled collected for the experience
itself, through Shopify, with refunds already taken out and any refund still
owed back held out. Add-ons are on their own row.

### What does "Add-ons" mean in the money card?

Money collected for add-ons (a cheese plate, a bottle) on reservations that
were not cancelled, not counting any add-on that was refunded.

### What is "Paid on-site"?

Balances your staff marked as paid at the counter with **Mark paid
on-site**: money collected outside Shopify. The row appears only when there
is some.

**See also:** [The reservation page](/daily-operations/reservation-page)

### What is "Kept on party-size changes"?

When a paid party got smaller, the cancellation policy may have kept part of
the refund for the removed guests. This row is what was kept. It appears
only when there is some.

**See also:** [Cancellations and refunds](/daily-operations/cancellations-and-refunds)

### What is "Kept on cancellations"?

What cancelled reservations did not refund: a partial refund under your
policy, or an all-sales-final policy that refunds nothing. It appears only
when there is some. A cancellation made from the Shopify order page counts
what Shopify refunded; an order cancelled in Shopify with no refund keeps
everything the guest paid.

**See also:** [Cancellations and refunds](/daily-operations/cancellations-and-refunds)

### What is "Collected"?

The total of the rows above it: experience fees, add-ons, paid on-site, kept
on party-size changes and kept on cancellations. It is the same number as the
Collected revenue figure at the top of the page.

### What is "Still due · saved cards"?

Money that charge-later reservations will collect from the guest's saved
card: reservations reading Charge scheduled, Card on file or Charging. It is
the experience price less anything taken at checkout, plus add-ons that are
billed with it. It appears only when there is some.

**See also:** [Payment policies](/core-concepts/payment-policies)

### What is "Still due · Payment due"?

Balances someone still has to collect: reservations reading Payment due or
Charge failed (including phone and walk-in reservations of a priced
experience nobody has charged yet), and orders still waiting for a bank or
manual payment. Collect them with a payment link, at the register, or mark
them paid on-site.

**See also:** [Payment policies](/core-concepts/payment-policies)

### What is "Booked value"?

Collected plus everything still due: what the reservations in the range are
worth once every balance is settled. No-shows' unpaid balances are not in
it, because nothing will collect them.

### Which money rows show a change readout?

Experience fees, Add-ons, Paid on-site, Collected and Booked value carry an
arrow and percentage when a comparison is on. The other rows do not.

### What is the "Also in this range" section?

Reference figures that are NOT part of the sums above: refunds already
taken out, refunds still owed, waived balances, no-shows' uncollected
balances and fee credits not yet used. They sit below the ledger so they are
not mistaken for parts of it. The section appears only when one of them is
above zero.

### What is "Refunded" in the money card?

Money that went back to guests on these reservations, including refunded
add-ons and refunds marked handled. It is already taken out of Collected, so
do not subtract it again.

### What is "Refunds owed"?

Refunds Riserva committed to but could not send yet, plus money that arrived
on a reservation after it was cancelled. It is held back from Collected
because it belongs to the guest. Use **Retry** or **Mark handled** on the
reservation's Payment card.

**See also:** [The reservation page](/daily-operations/reservation-page)

### What is "Waived"?

Balances your staff forgave with **Waive**. That money was never collected,
so it is not in Collected or Still due.

### What is "Not collected · no-shows"?

What no-show reservations owed that nothing will collect: a saved card is
never charged for a no-show, and a Payment-due balance has nobody to collect
it from. It is not Still due, because it is not coming; it is the revenue
those visits lost. Money a no-show already paid stays in Collected.

### What is "Fee credits not yet applied"?

Experience fees you promised to credit back against the guest's bill
("Credit the fee toward the guest's bill"), on reservations that are not yet
completed (pending payment, confirmed, checked in or seated). It is money
already collected but owed back as a credit when the guest buys.

### What does the line at the bottom of the money card mean?

"Refunds are already taken out of Collected; waived balances and no-shows'
balances were never collected." It is a reminder not to subtract Refunded a
second time and not to expect waived or no-show money to arrive.

### Does the money card match the reservation pages?

Yes. Every row is the sum of the same money each reservation's Payment card
shows, so the card and the reservations agree. Collected plus Refunded plus
Refunds owed is everything guests paid for these reservations.

## Overview › Cards

### Why do some cards appear and others not?

Each card appears only when it has something to say: channels when more than
one channel was used, Waitlist when your shop has ever used the waitlist,
First-time vs returning once there are 20 guests to classify, Members when
member recognition is set up. The money card, Outcomes, Attendance, Party
size and Lead time are always there when the range has reservations.

### What is "Reservations by channel"?

A ring showing where each reservation (not cancelled) was made: Online,
Phone, Walk-in or POS. The total is in the middle; hover a slice for its
share. It appears only when more than one channel was used in the range.

### What do the colours in "Reservations by channel" mean?

Each channel always has the same colour: Online blue, Phone orange, Walk-in
green, POS yellow. The colour follows the channel, not its size, so it never
changes when you filter.

### What is the "Outcomes" card?

Stacked bars per day (or hour, or week): how many reservations were
visited, no-shows, cancelled, and, when there are any, still upcoming. Hover
a bar for each count and the total. It is hidden while the main chart is
already showing outcomes.

### What does "Visited" mean on Outcomes?

The party came: the reservation was checked in, seated or completed. Most
rooms check a party in and never press Complete, so all three count as a
visit.

### What do the colours on Outcomes mean?

Visited is blue, No-show orange, Cancelled green, and Upcoming grey. The
order from the bottom of each bar is always the same.

### What is "Upcoming" on the Outcomes chart?

Reservations whose visit has not happened yet, so they have no outcome. You
mostly see it "By booking date", where reservations made this week are often
for next week. The card's note says "Upcoming = made in this range, visit
still ahead"; those visited and no-show figures grow as the visits happen.

### Why don't some reservations appear in Outcomes at all?

A reservation whose time has passed but that was never checked in or marked
no-show has no outcome yet, so it is not drawn. Resolve it on Host or the
reservation page and it joins the chart.

### What is the "Party size" card?

The big number is the average guests per reservation (covers divided by
reservations, cancelled ones left out). The bars show how many reservations
were parties of 1, 2, 3 and so on, up to "8+" for eight or more.

### What is the "Lead time" card?

How far ahead guests reserve. The big number is the median time from when a
reservation was made to the visit (half reserve sooner, half later), shown in
minutes, hours or days. The bars group reservations into Same day, 1–2 days,
3–6 days, 1–2 weeks, 2–4 weeks and 1 month+. Cancelled reservations are left
out.

### Why does Lead time say some reservations "entered after the visit had ended" are left out?

Those reservations were recorded after the visit was already over (entered
after the fact), so there is no honest "how far ahead" to measure. They are
left out of the bars and the median, and the card says how many. Walk-ins
and reservations made during their own time slot count as same day.

### What is the "Waitlist" card?

The waitlist for parties that joined on a day in the range, wherever they
joined: at the host stand, at the register or on your storefront (the card's
subtitle says "Joined at the host stand, the register or online"):
Joined, Notified (told their table was ready) and Seated as bars, then
Walked out, Conversion and Wait vs quote. It counts by the day the party
joined, whichever lens you picked. It appears once your shop has used the
waitlist at least once.

**See also:** [Running service with the Host view](/daily-operations/host-view)

### What does "Conversion" mean on the Waitlist card?

Of the parties that either got seated or walked out, the share that got
seated. Parties still waiting are not counted.

### What does "Wait vs quote" mean?

The average minutes seated parties actually waited, against the average wait
time you quoted when they joined. "—" means there was nothing to average.

### What does "No waitlist activity in this range." mean?

Your shop uses the waitlist, but nobody joined it on the days in this range.

### What is "First-time vs returning"?

A ring splitting reservations (not cancelled) into first-time and returning
guests. A guest is returning when they have an earlier reservation with you,
on an earlier date, that was not cancelled or a no-show. Guests are matched
by Shopify customer or by email, so someone who reserved as a guest first and
with an account later is one person.

### Why don't I see the "First-time vs returning" card?

It appears once at least 20 reservations in the range can be classified.
Reservations with no customer and no email cannot be, and are left out.

### What is the "Members" card?

A ring of reservations (not cancelled) made by club members against
non-members, with the total in the middle and the member share in the
subtitle ("…% of reservations were made by club members"). A guest counts as
a member when they carry one of your member tags. It appears whenever member
recognition is set up under Settings › Memberships, even if no member
reserved in this range.

**See also:** [Member benefits](/memberships/member-benefits)

## Overview › Experiences table

### What is the "Experiences" table?

One row per experience with a visit in the range (or a reservation made in
it, "By booking date"), sorted by Collected, highest first. Click a row and
the whole page re-counts for that experience alone.

### What do "Reservations" and "Covers" mean in the Experiences table?

The experience's reservations and guests, cancelled ones left out and
no-shows included, the same rule as the headline figures — so by visit date,
Covers counts the guests recorded as here for parties that came.
Utilization still compares the booked party sizes with the places offered.

### What do "Collected", "Booked value" and "Add-ons" mean in the Experiences table?

Collected is money collected for that experience, add-ons and money kept on
cancellations included. Booked value is Collected plus what is still due.
Add-ons is the part of Collected that came from add-ons. Hover a heading for
the same definition.

### What do "No-shows" and "Cancellations" mean in the Experiences table?

How many of that experience's reservations were marked no-show, and how many
were cancelled, in the range.

### What does "Utilization" mean?

Guests booked divided by places offered across the experience's time slots
in the range, at the chosen location. It tells you how full the experience
ran.

**See also:** [Capacity strategies explained](/core-concepts/capacity-strategies)

### Why does Utilization show "—"?

Utilization is only worked out for experiences with a set number of places
per time slot (Manual capacity, or Open with a per-slot limit). Venue floor
map and Whole venue experiences have no fixed number of places to divide by,
so a percentage would be made up. It also shows "—" when viewing "By booking
date", because places are offered on visit days.

**See also:** [Capacity strategies explained](/core-concepts/capacity-strategies)

### What does the note under the Experiences table say "By booking date"?

That the rows are the experiences of reservations made in the range,
whatever day they visit, and that Utilization shows only "By visit date".

## Overview › Peak hours

### What is the "Peak hours" grid?

A heatmap of covers: days of the week down the side, hours of the visit
across the top. Each coloured square shows how many guests visited at that
hour on that weekday, added up over the range. Use it to see when you need
more people on the floor.

### What do the numbers and shades in Peak hours mean?

The number in a square is its covers. Darker blue means more covers, on a
five-step scale from light to dark ("Fewer to more covers"). A white,
outlined square had nobody. Hover a square for the day, hour, covers and
number of reservations.

### Are no-shows and cancellations counted in Peak hours?

No-shows count, because they still held a place in the book at that hour.
Cancellations do not.

### Why does Peak hours show visits outside my range "By booking date"?

On that lens the grid shows the visit days and hours of reservations made in
the range, including visits after the range ends. Switch to "By visit date"
to see how busy the room was on the range's own days.

### Why does Peak hours start at 10 AM?

The grid always shows at least 10 AM to 10 PM, and widens to any earlier or
later hour that has a visit.

## Overview › Empty page

### What does "No visits in this range." mean?

No reservation had a visit on these days, and no money moved for them.
Nothing is broken: either the room was closed, or your reservations are still
ahead of today (a reservation made today for a later date joins these
figures once that day has passed). Click **View upcoming reservations** to
see them on the Upcoming tab.

### What does "No reservations made in this range." mean?

You are viewing "By booking date", and no reservation was made on these
days. Switch to "By visit date" to count visits on these days instead, or
pick a longer range.

### Why does the Overview show figures when I have no visits in the range?

Money moved for reservations in the range (for example a refund or a balance
still due), so the page shows the money card and the rest even though the
counts are zero.

## Upcoming

### What does the Upcoming tab show?

Everything on the books from today through the horizon you pick, counted by
the day of the visit. Cancelled reservations and no-shows are never on the
books. Today's visits that already happened (checked in, seated or
completed) still count.

**See also:** [What each report answers](/reports/what-each-report-answers)

### What are "Next 7 days", "Next 30 days" and "Next 90 days"?

The horizon: how far ahead the tab looks, starting today and including
today. Next 30 days is the default. The dates it covers are written beside
the buttons, followed by "by visit date".

### Does the Upcoming tab follow the Overview's date range or lens?

No. It has its own horizon and always counts by the visit date. The location
and the "Only \<experience>" filter do apply to both tabs.

### What does "Reservations" count on the Upcoming tab?

Reservations with a visit in the window that are on the books: pending
payment, confirmed, checked in, seated or completed. Cancelled reservations
and no-shows are not counted.

### What does "Covers" count on the Upcoming tab?

Guests across those reservations: every party size added up. It is the
figure the Upcoming chart shows first.

### What is "Booked value" on the Upcoming tab?

What those visits will bring in: money already collected plus money still
due. Hover the label to see the two parts.

### Why are there no arrows or percentages on the Upcoming figures?

The Upcoming tab has no comparison: it shows what is on the books ahead, not
a change from an earlier period.

### What does the Upcoming chart show?

The figure you selected, day by day across the horizon ("… by day", "by day
of the visit"). Reservations and Covers draw as bars; Booked value as a line.

### What is the shaded area under the Booked value line?

"Collected so far": how much of each day's booked value is already paid. The
unshaded band between it and the line is what is still due. The key under
the chart names both.

### What do "Collected so far" and "Still due" under the Upcoming chart mean?

Collected so far is money already taken for these visits. Still due is money
not collected yet: on saved cards waiting to be charged and on Payment-due
reservations. Together they make Booked value.

**See also:** [Payment policies](/core-concepts/payment-policies)

### Why does the Upcoming Experiences table have no No-shows or Cancellations columns?

The tab only shows what is on the books, so those columns would read 0 on
every row. They are dropped. Utilization is shown and measures guests
reserved against places offered in the window.

### What is the "Day by day" list?

Every reservation on the books in the window, in date and time order, with
its date, time, reservation code, experience, guests, status, payment state,
Booked value and Collected. It carries no guest names or contact details.
Click a row to open the reservation.

**See also:** [The reservations list](/daily-operations/reservations-list)

### What do "Booked value" and "Collected" mean in the Day by day list?

For that one reservation: Booked value is what it is worth once paid in
full; Collected is what has been taken so far. The difference is still due.

### What do the statuses in the Day by day list mean?

"Pending payment" means an order exists but its payment has not cleared.
"Confirmed" means the reservation is set and the party has not arrived.
"Checked in", "Seated" and "Completed" mean the party is here or has been.
Cancelled and no-show reservations never appear on this list.

**See also:** [The reservation page](/daily-operations/reservation-page)

### What do the payment states in the Day by day list mean?

"Paid": collected; "Payment due": owed and not collected; "Not required":
free. "Awaiting payment": an order or payment link exists but the money has
not arrived. "Charge scheduled" and "Card on file": the card is saved and
will be charged on a date or at check-in. "Charging": a charge is in
progress, do not collect again; "Charge failed": the saved card did not work
and the balance is due.

**See also:** [Payment policies](/core-concepts/payment-policies)

### What does "The first 200 of … reservations" mean?

The list shows at most 200 reservations. The line under it says how many
more are in the window; click **View all in Reservations** to see them all
in the reservations list.

**See also:** [The reservations list](/daily-operations/reservations-list)

### What does "Nothing on the books for the next 30 days." mean?

No reservation (other than cancelled or no-show) has a visit in that window.
Reservations appear here the moment they are made. Try a longer horizon, or
look at past visits on the Overview tab.

## Export

### What does the "Export" button do?

It downloads a spreadsheet file of what the current tab is showing. On the
Overview: "Reservations" (every reservation with a visit in the range, or
made in it "By booking date", cancelled ones included) or "Experiences
table". On Upcoming: "Reservations on the books" (every reservation still on
the books with a visit in the horizon, so not cancelled or no-shows) or
"Experiences table", which counts the same reservations and matches the table
on the tab. The number in brackets is how many rows the file will hold.

**See also:** [The reservations list](/daily-operations/reservations-list)

### Why does the reservations export include guest details?

The file is meant for working with your guests, so it has name, email and
phone beside each reservation. Because it carries guest contact details,
each download is recorded in Riserva's customer-data access log. The
Experiences file has no guest details.

### What is the "Guests arrived" column in the reservations export?

It is how many of the party actually came, as a host recorded it with
**Guests here** or a partial check-in. It is blank when nobody recorded a
number — a party checked in as a whole counts as all here — and always blank
on a cancelled reservation. The "Guests" column beside it is the party size as
booked, which never changes when fewer guests arrive.

### How is the export file named?

By what it holds and its dates, for example a "report-reservations" or
"upcoming-reservations" file with the start and end dates. A file made "By
booking date" adds "by-booking-date" to its name, so two files for the same
dates can be told apart.

### What does "Exported 12 reservations" mean?

The file downloaded and holds that many rows. Look in your browser's
downloads.

## When something is refused

### Why is an Export choice greyed out?

There is nothing to export for it: no reservations in the range (or on the
books), or no rows in the Experiences table. It is also greyed out while
another export is still downloading.

### What does "Exported the first 5000 — narrow the range for the rest" mean?

The range holds more than 5,000 reservations, and one file holds at most
5,000. The file has the first 5,000. Pick a shorter range (or one location or
experience) and export again for the rest.

### What does "Export failed" mean?

The download did not complete. Try again. Exports work only from inside the
Riserva app in Shopify; opening the export in a separate browser tab is
refused because that tab is not signed in.

### Why is "View as table" greyed out in a chart's menu?

That chart has nothing to show in this range, so there is no table to open.

### Why can't I choose a date range longer than 92 days?

The Overview works within 92 days at most. A longer custom range is cut to
its last 92 days, and the note under the filter row says so. Export two
shorter ranges if you need more.

### Why can't I compare a whole week to "Same day last week"?

That comparison only works for a single day; for a longer range it would
overlap the range itself. Use Previous period or Previous year.
