# What things mean: Settings

This page covers everything under **Settings**: the Settings page itself
(Regional formats, Reservation IDs, Plan), Venues & floor maps (locations,
venues, tables, the floor-map editor and blackout periods), Policies,
Reservations, Emails, Integrations (Klaviyo, Shopify Flow, Awtomic) and
Memberships, plus the plan notice that can appear above any page.

## Settings (the main Settings page)

### What are the groups on the Settings page?

Settings is a stack of groups: Venues & floor maps, Policies, Reservations,
Memberships, Emails, Integrations, Regional formats, Reservation IDs and Plan.
Each group has a short description on the left and a card on the right. Most
cards hold one button that opens a page of its own; Regional formats,
Reservation IDs and Plan are edited right on the Settings page.

**See also:** [Install Riserva and work through setup](/getting-started/install-riserva)

### What does "Edit venues" open?

It opens **Venues & floor maps**, where your Shopify locations are listed with
the bookable spaces (venues) you have added under each one. That is where you
add venues, tables, floor maps, and blackout periods.

**See also:** [Set up locations and venues](/getting-started/locations-and-venues)

### What does "Edit policy" open?

It opens **Policies**, where you set your one shop-wide cancellation and
refund schedule, what guests can change online, refund overrides, entry fees
at the register and cancellation reasons.

**See also:** [Set your cancellation policy](/getting-started/cancellation-policies)

### What does "Edit reservation settings" open?

It opens the **Reservations** settings page. The card names its four
settings: the storefront waitlist, the early-arrival window, when visits end
by themselves, and whether parties that never arrive are marked no-shows by
themselves.

### Why does the Memberships card say "Member recognition" on my store and something else on another?

The card describes what the Memberships page actually offers on your store.
"Member recognition" means the page lets you set the customer tags that mark a
member. "Native member benefits" or "Awtomic and native member benefits"
appear only on stores where those extra features have been turned on.

**See also:** [Party size, cutoffs and who can book](/core-concepts/party-size-and-visibility)

### What does "Edit emails" open?

It opens **Emails**, where you choose who guest emails come from, rewrite
their opening and closing lines, brand their design, preview and test them,
and switch individual emails on or off.

**See also:** [Email settings](/guest-experience/email-settings)

### What does "Edit integrations" open?

It opens **Integrations**, the list of outside services Riserva can talk to:
Klaviyo and Shopify Flow on every store, and Awtomic where it has been
turned on. The card's heading names the same list, so it reads "Klaviyo and
Shopify Flow" unless Awtomic is on for your store. Every integration is optional; reservations work the same with
none connected.

**See also:** [Klaviyo](/integrations/klaviyo)

## Settings › Regional formats

### What does "Time format" change?

It chooses how times are written across the app: "12-hour (2:30 PM)" or
"24-hour (14:30)". It only changes how times are shown; your reservations and
schedules are not changed. Save with the bar at the top of the page.

**See also:** [Install Riserva and work through setup](/getting-started/install-riserva)

### What does "Numeric dates" change?

It chooses the order of day, month and year when a date is written in numbers:
MM/DD/YYYY, DD/MM/YYYY or YYYY-MM-DD. It is display only; stored dates do not
change.

### What is the "Preview:" line under the date and time formats?

It shows a sample date and time written the way your current choices would
write them, before you save. It updates as soon as you change either menu.

### What does "Written dates always spell the month" mean?

Dates written out in words, like "Sat, Jul 25", always use the month's name,
so they read the same whatever numeric format you pick. The numeric format
only affects dates written all in numbers.

## Settings › Reservation IDs

### What is the reservation ID "Prefix"?

It is the short word at the start of every reservation code guests receive
and staff read over the phone, such as "RES" in RES-7K4M. You can change it to
1–5 letters or numbers, for example your winery's initials. Leave it blank to
use RES.

**See also:** [What guests see](/guest-experience/what-guests-see)

### Will changing the prefix change my existing reservation codes?

No. The new prefix applies to new reservations only; codes already given to
guests never change, because guests use them in emails and to look up their
reservation. Older reservations may also carry the earlier "SE" prefix, and
they keep it.

### What does "Your reservation codes will appear as …" show?

It is a preview of what new codes will look like with the prefix you typed,
for example "WINE-7K4M, WINE-Q2XN". The letters after the dash are examples;
real codes are generated for each reservation.

### What does the toast "Settings saved" mean on the Settings page?

Your changes to Regional formats and Reservation IDs were saved. The two are
saved together in one save, so the same toast confirms either or both.

## Settings › Plan

### What does "Riserva Pro" on the Plan card mean?

It is the plan your store is subscribed to, as Shopify reports it. When it
shows the plan name alone, the plan renews normally. The card always agrees
with Shopify's own plan page.

**See also:** [Plans and billing](/getting-started/plans-and-billing)

### What does "No plan selected" mean?

Shopify has no active Riserva plan for your store. Choose one on Shopify's
plan page with **Manage plan**. While a store has no plan, Riserva sends you
to that page when you open the app.

**See also:** [Plans and billing](/getting-started/plans-and-billing)

### What does "Development store · free" mean?

Your store is a Shopify Partner development store. Riserva is free there and
never asks it for a plan: Shopify does not take paid app charges on a
development store, so there is nothing to choose. When the store goes live
on a Shopify plan, Riserva takes you to Shopify's plan page to choose a
plan, like any other store.

**See also:** [Plans and billing](/getting-started/plans-and-billing)

### What does "Riserva Pro · ends Tue, Oct 13" mean?

Your plan will not renew, and Shopify keeps it active until that date. This
happens after a plan is cancelled or the app is uninstalled; Riserva keeps
working until then. When it ends, Riserva takes you to Shopify's plan page to
choose a plan.

**See also:** [Plans and billing](/getting-started/plans-and-billing)

### What does "Riserva Pro · ending" (with no date) mean?

The same as an ending plan with a date: it will not renew. Shopify did not
give Riserva an end date to show, so the card cannot name the day.

### What does "Manage plan" do?

It leaves Riserva and opens Shopify's plan page for your store, where you can
review, change or cancel your plan. While a plan is ending, that Shopify page
may show it as "Current" with nothing to select.

### What does "Flat monthly price with no per-reservation fees" mean?

Riserva charges one fixed monthly price through your Shopify bill and never
takes a cut of what guests pay. It does not matter how many reservations you
take.

**See also:** [Plans and billing](/getting-started/plans-and-billing)

### What does "Renew now" do?

It ends your current plan today, instead of on its end date, and sends you to
Shopify's plan page to choose and approve a plan. It only appears to the
store owner, and only while a plan is ending. It asks before doing anything:
press **End plan and choose a new one** to go ahead, or **Keep my current
plan** to back out.

**See also:** [Plans and billing](/getting-started/plans-and-billing)

### What happens to my store after I press "End plan and choose a new one"?

Your current plan ends today and this cannot be undone. Riserva's admin is
unavailable until you approve a plan on Shopify's page; your storefront
widget, the POS tiles and existing reservations keep working. Any credit for
unused paid time is settled by Shopify.

### What does "Your plan has ended" with "Continue to Shopify's plan page" mean?

Renew now worked and your old plan is over. Riserva tries to open Shopify's
plan page by itself; if it did not, press **Continue to Shopify's plan page**
to choose and approve a plan.

### What does "To renew before then, ask the store owner" mean?

Only the store owner can end a plan early with Renew now, and you are not
signed in as the owner. Ask the owner to open Riserva if the plan should be
renewed before its end date.

### What is the yellow "Riserva Pro ends …" notice at the top of every page?

It tells you your plan will not renew and is active until the date shown.
Nothing stops working before then. **View plan** opens Shopify's plan page;
**Renew now**, when shown, ends the plan early so you can choose a new one.

**See also:** [Plans and billing](/getting-started/plans-and-billing)

### Why did the plan notice come back after I dismissed it?

Dismissing hides it only for the current browser session. It returns the next
time you open Riserva, because the plan has a deadline. It goes away for good
once a renewing plan is in place.

## When something is refused: Settings and Plan

### Why does it say "Reservation ID prefix must be 1–5 letters or numbers"?

The prefix can only contain letters A–Z and numbers, up to five of them, so it
stays short enough to read over the phone. Remove spaces, dashes or other
symbols and save again.

### Why does it say "Only the store owner can end the current plan. Nothing was changed."?

Renew now ends a paid plan, so only the store owner may do it. Your plan is
unchanged. Ask the owner to press Renew now.

### Why does it say "Your plan is not ending, so there is nothing to renew."?

Shopify reports that your plan renews normally, so there is nothing to end
early. Nothing was changed; use **Manage plan** if you want to change plans.

### Why does it say "We could not reach Shopify to check your plan. Nothing was changed."?

Riserva could not confirm your plan with Shopify at that moment, so it did
nothing. Try again in a minute.

### Why does it say "Shopify did not confirm that your current plan was ended"?

Riserva asked Shopify to end the plan and did not get a clear yes. Your plan
may not have changed. Check Shopify's plan page with **Manage plan**, or try
again in a minute.

### Why does it say "Plan changes are not available right now."?

Riserva cannot check plans with Shopify on your store right now, so it will
not end one. Nothing was changed. Use **Manage plan** to see your plan on
Shopify's page.

## Settings › Venues & floor maps

### What is the pin icon next to a location's name?

The pin marks a Shopify location — the same icon Shopify uses for your shop
locations. The location's name and address come from Shopify; the venues
listed under it are yours.

**See also:** [Set up locations and venues](/getting-started/locations-and-venues)

### Why can't I add or delete a location here?

Locations belong to Shopify. Riserva reads them every time you open this page,
so add, rename or close a location in Shopify (Settings → Locations) and it
appears here on your next visit. The only location setting kept in Riserva is
its timezone.

**See also:** [Set up locations and venues](/getting-started/locations-and-venues)

### What is the text after the address, like "America/Los\_Angeles"?

That is the location's timezone. Every bookable time at every venue under the
location is created in this timezone. Change it with the pencil icon beside
it.

### What does the pencil icon in a location's header do?

It opens the timezone picker for that location. Pick a US zone, or choose
"Other (enter IANA name)" and type a zone name such as Europe/Paris, then
press **Save**.

### What does "Slot times for this location's venues are generated in this zone" mean?

The times guests can book — 11:00, 11:30 and so on — are worked out in the
location's timezone. If the zone is wrong, every time at that location will be
off by the difference.

### What does "No address" mean in a location's header?

Shopify has no street address, city or province for that location. Add one in
Shopify (Settings → Locations) and it shows here next time you open the page.

### What does "No venues yet" mean?

This location has no bookable spaces yet. Press **Add venue** to create the
tasting room, restaurant or tour area guests will book at.

**See also:** [Set up locations and venues](/getting-started/locations-and-venues)

### What is a venue?

A venue is a bookable space inside a location: the tasting bar, the
restaurant, the cave, the lawn where tours meet. Its capacity comes from the
tables you add to it, and its address and timezone come from its location.

**See also:** [Set up locations and venues](/getting-started/locations-and-venues)

### What do the badges "Tasting bar", "Restaurant", "Tour", "Event space" and "Other" on a venue mean?

They show the venue's type, with a small icon so you can scan the list. The
type describes the space for you and your team; change it on the venue's page.

### What do the two letters in the circle beside a venue mean?

They are the venue's initials, shown when the venue has no photo — "North
Tasting Bar" shows "NT". Add a photo on the venue's page and it replaces them.

### What does "3 tables" under a venue mean?

It is how many tables, bar-seat blocks or other resources the venue has on
its floor today. Tables that were deactivated because they have reservation
history are not counted.

### What does "pacing 20/15 min" under a venue mean?

The venue has arrival pacing: no more than 20 guests can start a visit in
any 15-minute window, across every experience at that venue. Guests who do not
fit are offered a later time. Nothing shows when the venue has no pacing
limit.

**See also:** [Set up locations and venues](/getting-started/locations-and-venues)

### What does the "Inactive" badge on a venue mean?

The venue has been switched off. It is not offered for new reservations, but
existing reservations stand. Switch it back on from the venue page's Status
menu.

### What does the "Floor map" button on a venue row do?

It opens the visual editor where you draw the venue's room: place tables,
resize and rotate them, group them into zones and mark which can be pushed
together.

**See also:** [Tables and the floor map](/getting-started/tables-and-floor-map)

### What does "Add venue" ask for?

A venue name, a type, and optionally an arrival pacing limit. Press **Create
venue** and Riserva opens the new venue's page so you can add tables.

### What is "Arrival pacing (optional)"?

Pacing caps how many guests can start a visit in any 15-minute window at this
venue, even when tables are free, so the kitchen or pour staff never get a
burst. Later times are offered instead. Leave **Max new guests per 15
minutes** blank for no limit.

**See also:** [Set up locations and venues](/getting-started/locations-and-venues)

### What does "Inactive locations" list?

Locations that have been deactivated in Shopify. Riserva keeps them and their
venues, and says how many venues were kept, so your reservation history stays
intact. Reactivate the location in Shopify to bring it back.

### What does "Not linked to a Shopify location" mean?

These locations were created in Riserva before it read locations from
Shopify. Recreate their venues under one of the Shopify locations listed on the same page, then press
**Remove**.

### What does "No Shopify locations synced yet" mean?

Riserva found no active locations in your Shopify store. Locations are managed
in Shopify (Settings → Locations); once one exists it appears here
automatically.

### What does "Couldn't refresh locations from Shopify" mean?

Riserva could not read your locations from Shopify this time, so it is showing
the last list it read. Reload the page in a moment.

### What is the blue "Next: …" banner at the top of the page?

It is the next step of your setup guide, shown once this page's own step is
done — for example "Next: create an experience" or "Next: review your
cancellation policy". Press its button to go there. It stops appearing once
setup is complete or the guide is dismissed on Home.

## Venues & floor maps › Blackout periods

### What is a blackout period?

It closes dates to new reservations — a holiday, a private buyout, the harvest
crush. Existing reservations on those dates stand; a blackout only stops new
ones. Guests simply see no availability.

**See also:** [Set up locations and venues](/getting-started/locations-and-venues)

### What does "No blackout periods" mean?

Nothing is closed: everything stays bookable until you add a blackout period.

### What does the grey line under a blackout period mean, like "Dec 24 — Jan 1, 2027 · Everything"?

It shows the closed dates and what is closed. "Everything" means all venues and
experiences. A venue name alone means that whole venue. "Venue: Experience A,
Experience B" means only those experiences at that venue.

### What do "One venue", "One location" and "… only" mean on a blackout period?

These come from blackout periods created by an earlier version of Riserva,
which could close one venue, one location or one experience. They still work.
They can be removed but not edited; to change one, remove it and add a new
period.

### Why is there no "Edit" on some blackout periods?

Periods made by an earlier version of Riserva can only be removed. Remove it
and add it again with **Add blackout period** to get one you can edit.

### What does "Applies to" mean in the blackout dialog?

It chooses what the blackout closes. "All venues and experiences" closes
everything. "Specific venues or experiences" lists your venues with their
experiences underneath, so you can tick whole venues or only some
experiences.

### What does it mean when a venue's checkbox shows a dash?

Some, but not all, of that venue's experiences are ticked, so only those
experiences are closed. Tick the venue itself to close all of them.

### What happens to experiences I add to a venue later if the whole venue is blacked out?

A fully ticked venue means the whole venue is closed, including experiences
you add to it later. If you ticked experiences one by one, only those are
closed.

### How do I pick the dates of a blackout period?

In the calendar, click the first closed day, then the last. For a single day,
click it once. The line below spells out the range, for example "Closed Dec 24,
2026 — Jan 1, 2027 — first and last day included".

### What is the "Name" of a blackout period for?

It is just for your team, like "Christmas and New Year". Guests never see it.
If you leave it blank, the list shows the dates instead.

### What does "Remove" on a blackout period do?

It deletes the blackout and reopens those dates to new reservations straight
away.

## When something is refused: Venues & floor maps

### Why does it say "Pick at least one venue or experience"?

You chose "Specific venues or experiences" but ticked nothing, so there is
nothing to close. Tick at least one venue or experience, or choose "All venues
and experiences".

### Why is "Confirm" greyed out in the blackout dialog?

Either no venue or experience is ticked under "Specific venues or
experiences", or the dates are not set. Tick something and pick a date range.

### Why does it say "The blackout can't end before it starts" or "Pick the blackout dates"?

The dates sent were missing or backwards. Pick the range again in the
calendar, first day then last day, and save.

### Why does it say "Enter a valid IANA timezone (e.g. America/Los\_Angeles)"?

The zone you typed under "Other" is not a recognised timezone name. Use the
Region/City form, such as Europe/Paris or Australia/Sydney, with the exact
spelling and capitals.

### Why is "Add venue" greyed out?

The location is inactive in Shopify, and venues cannot be added to an
inactive location. Reactivate it in Shopify first.

### Why is "Create venue" greyed out?

The venue needs a name. Type one and the button turns on.

### Why does it say "Pacing must be a positive whole number"?

Max new guests per 15 minutes must be a whole number of 1 or more. Fix the
number, or leave the field blank for no limit.

### Why does a location's button say "Has reservations" instead of "Remove"?

That old location has reservations recorded against it, so it cannot be
deleted without losing history. It stays listed; its venues are kept for your
records.

## Venue page

### What does the "Active" or "Inactive" badge next to the venue's name mean?

Active venues take new reservations; inactive ones do not, though existing
reservations stand. Change it from the **Status** menu at the top of the page —
the current choice carries a check mark. There is no delete for a venue.

**See also:** [Set up locations and venues](/getting-started/locations-and-venues)

### What does "Arrival pacing — max new guests per 15 min" mean?

It caps how many guests can start a visit in any 15-minute window at this
venue, counting every experience that runs there. When the cap is reached,
guests are offered a later time. Leave it blank for no limit.

**See also:** [Set up locations and venues](/getting-started/locations-and-venues)

### What is the venue "Description" for?

A free-text note about the space. Change it and save with the bar at the top
of the page.

### What does the venue "Photo" do?

It is a picture of the space, shown beside the venue in the venues list. Drag
an image in or click to pick one; it uploads straight away. **Replace** and
**Remove** appear once a photo is set.

### What does "Tables and seating" mean?

It is the list of things guests can be seated at in this venue: tables, bar
seat blocks, cabanas, tour units. Their sizes and covers set the venue's real
capacity. Positions, sizes and zones are edited on the floor map.

**See also:** [Tables and the floor map](/getting-started/tables-and-floor-map)

### What does "No tables yet — add tables, bar-seat blocks, or tour units" mean?

The venue has nothing to seat guests at yet. Press **Add table**, or add
tables on the floor map.

### What do "Table", "Bar seats", "Cabana", "Tour unit" and "Whole venue" mean on a table?

They are the table's type, a label for you and your team. The type does not
decide how it is booked — covers and the Communal seating box do. Choosing Bar
seats ticks Communal seating for you, and on the floor map cabanas are drawn
with corner accents and bar seats with stool dots.

### What does "1–4 covers" on a table mean?

The table seats parties from the smaller number to the larger: here, parties
of 1 to 4 guests. For a communal table, the larger number is the total number
of seats shared between parties.

**See also:** [Tables and the floor map](/getting-started/tables-and-floor-map)

### What does "4 seats" on a table mean?

It is how many chairs are drawn around the table on the floor map. It is a
drawing detail; what a table can be booked for comes from its covers.

### What does the blue "Communal" badge on a table mean?

The table hosts several parties at once as a pool of seats, like a bar or a
shared farm table. It is booked by seats remaining, not taken whole by one
party.

**See also:** [Tables and the floor map](/getting-started/tables-and-floor-map)

### What does the "Inactive" badge on a table mean?

The table was removed but had reservation history, so it was switched off
instead of deleted. It is no longer offered or shown on the floor map, but
past reservations and reports that used it stay intact.

### What does "Combines with: T2, T3" mean?

This table can be pushed together with the tables named, so a party too big
for any single table can be offered a pair. Set it in the table's **Combinable
with** list.

**See also:** [Tables and the floor map](/getting-started/tables-and-floor-map)

### What does "Remove" mean versus "Deactivate (has reservation history)" in a table's menu?

**Remove** deletes a table that has never held a reservation. When a table has
been used, the menu says **Deactivate (has reservation history)** instead: it is
switched off and kept, so past reservations and reports stay intact. A table
Riserva only suggested for parties still to arrive counts as unused.

### What does "Min covers" mean?

The smallest party you would seat at this table. A party smaller than this is
not offered the table.

### What does "Max covers" mean?

For a regular table, the largest party seated there. For a communal table, the
help text changes to "Total bookable seats in the pool": the most guests, from
any number of parties, it can hold at once.

### What does "Seats" mean in the table form?

How many chairs are drawn on the floor map, from 0 to 100. It does not change
what the table can be booked for; covers do.

### What does "Communal seating" mean?

Ticked, the table hosts several parties at once as a pool of seats and is
booked by seats remaining. Unticked, one party takes the whole table.

**See also:** [Tables and the floor map](/getting-started/tables-and-floor-map)

### What does "Combinable with" mean?

Tick the tables this one can be pushed together with, for example two
four-tops that make a six. A party that fits no single table can then be
offered a pair. The numbers after each name are its covers.

### Why does it say "Add more non-communal tables to configure combinability"?

There is no other active, non-communal table in the venue to pair this one
with. Communal tables are never offered here. Add another regular table first.

## When something is refused: Venue page

### I pressed "Add" or "Save" in the table dialog and nothing was saved. Why?

Something in the form is not valid yet, and the problem is now written in red
under that field: "Enter a name" (the name is empty), "Name must be 60
characters or fewer", "Enter a number from 1 to 999" (Min or Max covers),
"Max covers must be at least Min covers", or "Enter a number from 0 to 100"
(Seats). The button stays pressable; fix the field and press it again. Each
message clears as soon as its field is corrected.

### Why does Max covers say "Max covers must be at least Min covers"?

The largest party cannot be smaller than the smallest party. Raise Max covers
or lower Min covers. This message shows as you type, before you press Add or
Save.

### Why does it say "Covers must be numbers with min ≤ max" or "Seat count must be between 0 and 100"?

The table's numbers were not accepted when saving. Covers must be whole
numbers from 1 to 999 with min no larger than max; seats must be 0 to 100.

### Why does it say "Table name is required (60 characters max)", "Invalid table type" or "Table not found in this venue"?

The table could not be saved. The first means the name was empty or too long;
the second that the type was not one of Table, Bar seats, Cabana, Tour unit or
Whole venue; the third that the table was removed (perhaps in another tab)
before your change reached it. Reload the page and try again.

### Why does it say "Pacing limit must be a positive number"?

Arrival pacing must be 1 or more. Fix it, or clear the field for no limit.

### Why does it say "That file type isn't supported — use an image"?

The file you dropped is not an image. Use a JPG, PNG or similar picture file.

## Floor map editor

### What is the floor map editor?

It is where you draw the venue's room on a fixed grid: add tables, move,
resize and rotate them, colour them by zone and mark which can be combined.
Nothing is saved until you press **Save**.

**See also:** [Tables and the floor map](/getting-started/tables-and-floor-map)

### What do the "Unsaved changes" and "Saved" badges mean?

"Unsaved changes" means you have edited the map since the last save; press
**Save** to keep the changes or **Discard** to throw the whole session away.
"Saved" means the map matches what is stored.

### What does "T1 · 4" written on a table mean?

The table's name, then its max covers — the largest party (or, for a communal
table, the pool size) it takes. A "?" means that field is empty.

### What are the small bars and dots around a table?

They are the table's chairs, drawn from its Seats number: bars for chairs,
round dots for bar stools along one long edge. At most 24 are drawn, and a
table with 0 seats shows none. They do not affect what the table can be
booked for.

### Why are some tables drawn with a dashed outline?

A dashed outline marks a communal table — a pool of seats shared by several
parties, like a bar.

### What do the dashed lines between tables mean?

They join tables that can be combined, so you can see your pairs instead of
remembering them. Set them in a table's **Combinable with** list.

### What do the little triangles in a table's corners mean?

They mark a cabana. They are decoration only.

### Why is a table outlined in blue with small white squares at its corners?

That table is selected and its details are open in the panel on the right.
Drag the bottom-right square to resize it; the other corners only show the
selection. Press Escape, or click empty floor, to deselect.

### What do the table colours mean?

A table takes its zone's colour. Tables in no zone are drawn in a neutral tan.

### What are zones?

Zones are areas of the room — Patio, Main room, Mezzanine — each with a colour
that tints its tables so the room reads at a glance. Type a name under **New
zone**, pick a colour swatch, press **Add**, then choose the zone in a table's
**Zone** menu. The number beside a zone is how many tables are in it.

### What happens to tables when I remove a zone?

The zone is deleted when you save, and its tables move to "No zone" and turn
the neutral colour. The tables themselves are not removed.

### What are the "Add to floor" buttons?

Four starting shapes: Table (2×2), Round table (2×2), Bar (6×1) and Cabana
(3×3). Each lands in the middle of the floor with a ready-made name (T1, B1,
C1…) and cover range you can change. The bar starts as communal.

### What does "Size: 2 × 2 units" mean?

It is the table's size on the map grid, which is 48 units wide and 28 tall.
It is drawing only and does not change capacity.

### How do I rotate a table?

Select it and press **Rotate 45°**, or press R on the keyboard. "Rotation: 90°"
shows the current angle.

### What does "Chairs drawn on the map — follows max covers" mean?

The chair count is matching max covers, so changing max covers changes the
chairs too. Once you set Seats to a different number on purpose, the two stop
following each other.

### What does "how many guests it can take stays at max covers" mean under Seats?

On a communal table, the chairs drawn can differ from the pool size, and the
pool size (max covers) is what guests can book. The chair drawing does not
change it.

### What does "Remove from map" do?

It takes the table off the map. When you save, a table with reservation
history is switched off instead of deleted, and Riserva asks you to confirm
first.

### What does the "Remove 2 tables?" question mean when I save?

You removed tables that already exist, and the save will remove them. Tables
that already have reservations are deactivated instead of deleted, so history
and reports stay intact. Press **Remove and save** to go ahead, or **Cancel**.

### Why is a table I deactivated missing from the floor map?

The floor map shows active tables only. Deactivated tables stay listed on the
venue page with an **Inactive** badge.

### What do the keyboard shortcuts on the floor map do?

With a table selected: R rotates it 45°, Delete or Backspace removes it, and
Escape deselects it. Shortcuts are ignored while you are typing in a field.

## When something is refused: Floor map editor

### Why is "Save" greyed out on the floor map?

Either nothing has changed, or something on the map is invalid. The red text
beside the badge names the first problem, such as "Every table needs a name"
or "T3: max covers must be ≥ min covers". Fix it and Save turns on.

### Why does it say "Zone names can't be empty" or "Zone names must be 40 characters or fewer"?

A zone needs a name of 1 to 40 characters. The **New zone** field shows the
count as you type ("12/40") and stops at 40, so you will normally only see
these sentences on a page that was open before a change. Rename the zone or
remove it.

### Why does it say "T1: min covers must be 1–999" or "T1: seats must be 0–100"?

The named table has a number out of range. Select the table and fix its Min
covers or Seats.

### Why does it say "Table names must be 60 characters or fewer"?

A table's name is too long. The Name field shows "…/60" as you type and stops
at 60; shorten the name.

### Why did the floor map show a red banner like "T2: position out of bounds" when I saved?

The save was refused because a table's size or position fell outside the map.
Nothing was saved. Move or shrink the named table so it sits fully on the
floor, then save again.

## Settings › Policies

### What is the shop policy?

It is the one set of cancellation and refund rules for your whole shop. Every
experience follows it unless that experience has custom rules; exactly one set
of rules applies to each reservation.

**See also:** [Set your cancellation policy](/getting-started/cancellation-policies)

### What policy applies if I never change this page?

A full refund when cancelled at least 24 hours (1 day) before the visit,
nothing after, with guests able to cancel and reschedule online. The page shows
exactly this until you save your own.

**See also:** [Set your cancellation policy](/getting-started/cancellation-policies)

### What does "All sales final" mean?

No automatic refunds at any time, whoever cancels. You can still refund by
hand from the Shopify order.

### What does "Refund on a schedule" mean?

More notice, more money back. Each line reads as a rule — "100% refund until 2
days before the visit" — and you can add up to three lines. With less notice
than the last line, or once the visit has started, there is no refund.

### How do I read a line like "50% refund until 4 hours before the visit"?

A guest who cancels at least 4 hours before the visit gets half of what they
paid back. Lines are checked from the earliest deadline to the latest, and the
first one the cancellation meets decides the refund.

### What does "Add partial-refund step" do?

It adds a smaller refund closer to the visit, such as 50% until 4 hours
before. Each new step must be closer to the visit and refund less than the one
before it. You can have up to three steps; the trash icon removes one.

### What is "How guests will read it"?

It is the exact sentence Riserva writes from your settings, updated as you
type, such as "Full refund until 2 days before your visit; no refund after
that. Guests can cancel online at any time, and reschedule while a refund is
still available." The same sentence appears on reservation pages and in
confirmation emails. If a setting is invalid, the box shows what to fix
instead.

**See also:** [Set your cancellation policy](/getting-started/cancellation-policies)

### Do staff cancellations follow this schedule?

Yes. When staff cancel, the refund is worked out from these rules and shown
before anyone confirms.

**See also:** [Cancellations and refunds](/daily-operations/cancellations-and-refunds)

### What does "Guests can cancel online" do?

On, a Cancel button appears on the guest's manage-reservation page, and any
refund follows your schedule. Without a cutoff, guests can cancel at any time;
they simply get less back as the visit nears. Off, guests must contact you.

**See also:** [Guests managing their own reservations](/guest-experience/guest-self-serve)

### What does "Guests can reschedule online" do?

On, guests can change the time from their manage-reservation page while a
refund is still available, so nobody can move a reservation to dodge a refund
deadline. With an all-sales-final policy there is nothing to protect, so
guests can reschedule up to your cutoff or the visit itself. The line under
the switch follows the policy: with a refund schedule it reads "A Change-time
button appears while a refund is still available — after that, changes go
through you. …", and with all sales final it reads "Guests can change their time online until the cutoff
below. With no cutoff, right up to the visit."

**See also:** [Guests managing their own reservations](/guest-experience/guest-self-serve)

### What does "Closes 1 day before the visit" (the cutoff) mean?

It stops guests cancelling or rescheduling online that close to the visit;
after it they must contact you. Leave the number blank for no limit. The
cutoff fields grey out while their switch is off.

### What does "With all sales final, guests can cancel — but nothing is refunded" mean?

You chose All sales final and left online cancelling on. Guests can still
cancel themselves, but no money goes back. Turn off "Guests can cancel online"
if you would rather they call you.

### Do these self-service switches limit my staff?

No. They only control what guests can do on their own. Staff can always
cancel or change a reservation.

**See also:** [Edit a reservation](/daily-operations/edit-a-reservation)

### What does "Allow POS check-in to refund beyond the policy" mean?

When a paid party shrinks at check-in on POS, the refund normally follows your
cancellation schedule exactly. Ticked, staff at the register may give a full
refund instead. It starts off. The reservation's Edit page in the admin always
offers the full-refund choice, and every override is recorded with who did
it.

**See also:** [POS](/daily-operations/pos)

### What is "Entry fees at the register"?

It is the shop-wide spend rule for a party whose entry fee is still open at
the register — a saved card waiting for close-out under "At the visit —
charged when closing out, or settled at the register", or a fee still due.
At the register, the Bill credits tile offers to add the fee to the sale or
waive it, and this amount decides when it suggests waiving.

**See also:** [Reservations in Shopify POS](/daily-operations/pos)

### What does "Suggest waiving the fee when the rest of the sale is over" mean?

When the rest of a party's sale at the register is more than this amount, the
Bill credits tile suggests waiving the entry fee; below it, it suggests adding
the fee to the sale. Staff still choose on every sale. Leave it blank for no
suggestion. An experience can set its own amount on its Pricing card, which
takes the place of this one. A waived fee is recorded on the reservation and is
never charged to the saved card.

### What are "Cancellation reasons"?

The short list a guest picks from when they cancel online, like "Change of
plans" or "Travel or weather". Edit the wording, add up to 12 reasons, or
remove them all. Changes save with the rest of the page: **Save** keeps
them, and **Discard** undoes them along with any policy edits. The guest's
answer is saved on the reservation.

### What does "Guests won't be asked why they're cancelling" mean?

The reasons list is empty, so guests cancelling online are not asked for a
reason. Press **Add reason** to start asking again.

### What does "Custom rules" list?

Every experience with its own cancellation rules, with the sentence guests
read for it. **Edit** opens the experience. Everything not listed follows the
shop policy.

**See also:** [Set your cancellation policy](/getting-started/cancellation-policies)

### What does "All experiences follow the shop policy" mean?

No experience has its own rules. To give one different rules — say an
all-sales-final dinner — open it and set custom rules in its "Booking rules"
card.

## When something is refused: Policies

### Why does it say "Add at least one refund step, or choose all sales final."?

"Refund on a schedule" needs at least one line. Add a step, or choose All
sales final.

### Why does it say "Refund step 2 must be closer to the visit than the step before it."?

Each step must end nearer the visit than the one above it — for example 2 days
then 4 hours, not 4 hours then 2 days. Change the timing so the steps move
toward the visit.

### Why does it say "Refund step 2 can't refund as much as the step before it"?

Later steps must refund less, because less notice should never get more money
back. Lower the later percentage.

### Why does it say "Refund step 1: the refund must be between 1 and 100%."?

A step's percentage must be a whole number from 1 to 100. A 0% step is not
needed: with less notice than your last step, there is already no refund.

### Why does it say "Refund step 1: enter how far before the visit it ends."?

The step's number of days or hours is empty or not a whole number. Enter one,
such as 2 days or 4 hours.

### Why does it say "Cancellation cutoff: enter a whole number of days or hours, or leave it blank."?

The cutoff must be a whole number of 1 or more, or empty for no limit. The
same applies to the reschedule cutoff.

### Why does it say "The waive amount must be a non-negative number"?

The amount under "Suggest waiving the fee when the rest of the sale is over"
isn't a valid amount, for example it is negative. Enter zero or more, or clear
the field for no suggestion, and save again.

## Settings › Reservations

### What does "Let guests join today's waitlist online" do?

On, when a guest looks at today in the storefront widget and no times are
open, they can join your waitlist instead of hitting a dead end. Entries land
on the same waitlist as your host stand and POS. It starts off.

**See also:** [The Host view](/daily-operations/host-view)

### Are guests emailed when they join the waitlist online?

Only when you tap **Notify** on their waitlist entry. Keep an eye on the list
during service if this setting is on.

### What does "Ask when a party arrives more than … minutes early" mean?

When a party checks in earlier than this before their reservation time,
check-in asks whether to move the reservation to now, which frees the seat
they were holding later (unless the only slot a move could reach is the one
they already hold — then there is nothing to ask). The default is 60 minutes; the most is 1,440 (a day).
It counts minutes ahead of the reservation's time, not calendar days: a party
on tomorrow's 9:00 AM arriving at 11:00 PM tonight is 10 hours early, which
asks under the default but not with the window set to 1,440. Arriving a little
early never asks, and a late party is checked in where it is.

**See also:** [The Host view](/daily-operations/host-view)

### Does the early-arrival question force me to move the reservation?

No. The host can always check the party in without moving it; the question
only makes the choice explicit.

### What does "Ending visits" decide?

It decides when Riserva marks a party that is checked in or seated as done by
itself, so the table shows as free and the visit is recorded. There are three
answers: "After the scheduled end" (the default), "At the end of the day", and
"Never — staff press Complete". Pick one and press Save.

**See also:** [Set up the waitlist, early arrivals and ending visits](/daily-operations/waitlist-early-arrivals-and-ending-visits)

### What does "After the scheduled end" mean?

A party checked in or seated is marked done a set time after its
reservation's end. You set that time in "Wait after the scheduled end for …
minutes", which appears when this answer is chosen. It is the default.

**See also:** [Set up the waitlist, early arrivals and ending visits](/daily-operations/waitlist-early-arrivals-and-ending-visits)

### What does "Wait after the scheduled end for … minutes" mean?

It is the grace period after a reservation's end before Riserva marks the
party done. The default is 15 minutes, up to 1,440. The field shows only
while "After the scheduled end" is chosen.

### What does "At the end of the day" mean?

Every party still on the floor is marked done at midnight, property time, or
at its own end if that is later. Until then a party past its end keeps its
"Running over" badge all evening, so nobody is lost. On the Host page,
pointing at that badge shows "Ends by itself at the end of the day".

**See also:** [Set up the waitlist, early arrivals and ending visits](/daily-operations/waitlist-early-arrivals-and-ending-visits)

### What does "Never — staff press Complete" mean?

Nothing ends by itself: a party stays on the property until someone presses
Complete. "Running over" still shows after its end, as a reminder, and its
tooltip no longer says "Ends by itself at …".

### What does "Still here" do to an automatically ending visit?

Each press on the Host page moves the party's expected end out by 30 minutes,
counted from now or from the current end, whichever is later. Under "After the
scheduled end" the automatic end then waits for the new time plus your wait;
under "At the end of the day" the visit still ends at midnight unless the new
time runs past it. It never stops online guests booking the times after:
online availability does not look at it.

**See also:** [The Host view](/daily-operations/host-view)

### How can I tell a visit ended by itself?

The reservation's history says the visit ended by itself; it never pretends
someone pressed Complete.

**See also:** [A reservation's page](/daily-operations/reservation-page)

### What does "No-shows" decide?

It decides whether Riserva marks a party that never arrives as a no-show by
itself. There are three answers, in the same order as Ending visits: "After
the reservation time", "At the end of the day", and "Never — staff mark
no-shows" (the default). The first one's help text names its minutes even
while another answer is chosen. Pick one and press Save in the bar at the top
of the page.

**See also:** [Set up the waitlist, early arrivals and ending visits](/daily-operations/waitlist-early-arrivals-and-ending-visits)

### Why would I want Riserva to mark no-shows by itself?

A party nobody marks stays Confirmed on the Arriving list for ever, so your
no-show rate in Reports counts too few. Marking it a no-show counts it in
Reports, keeps what the guest already paid (nothing is refunded, and a saved
card is not charged), and sends Klaviyo's no-show
event when Klaviyo is connected. Leave it on "Never" if your team marks
no-shows by hand and you would rather nothing ran automatically.

### What does "Never — staff mark no-shows" mean?

Nothing is marked a no-show by itself. A party stays on Arriving (it turns
Late ten minutes after its time) until a host presses No-show or checks it
in. It is the default.

### What does "After the reservation time" mean?

A party that has not checked in is marked a no-show a set time after its
reservation's start time. You set that time in "Wait after the reservation
time for … minutes", which appears when this answer is chosen. If the guest
walks in afterwards, Undo no-show on the reservation brings it back.

**See also:** [Set up the waitlist, early arrivals and ending visits](/daily-operations/waitlist-early-arrivals-and-ending-visits)

### What does "Wait after the reservation time for … minutes" mean?

It is how long after a reservation's start time Riserva waits before marking
a party that has not checked in as a no-show. The default is 60 minutes, up
to 1,440 (a day). The field shows only while "After the reservation time" is
chosen.

### What does "At the end of the day" mean under No-shows?

Every party still not checked in is marked a no-show at midnight, property
time, after its reservation's date — never before the reservation's own start
time. Hosts can still mark one earlier by hand with No-show.

**See also:** [Set up the waitlist, early arrivals and ending visits](/daily-operations/waitlist-early-arrivals-and-ending-visits)

### Which reservations can be marked a no-show automatically?

Only those still Confirmed or Pending payment — parties that never checked
in. A party that was checked in, seated, completed or cancelled is never
touched.

### When does the automatic no-show actually happen?

Whenever someone opens the Host page, the Timeline and Map, or the
Reservations tile in Shopify POS for that location, and once an hour in any
case — the same moments visits end by themselves. A party past its time is
marked within the hour even if nobody is looking.

### What happens to a reservation marked a no-show automatically?

Exactly what happens when a host presses No-show: its table is freed, a
saved card is kept just as for a hand-pressed No-show, Reports count it,
Klaviyo receives the no-show event when it is connected, and Shopify Flow's
"Reservation no-show" trigger starts any workflow built on it. The guest is
not emailed by Riserva.

### What does "The reservation's history says a no-show was marked automatically — never that someone pressed the button." mean?

It is the footer of the No-shows card. The reservation's timeline shows
"Marked as no-show" and then "Marked no-show automatically, 60 min after the
reservation time — never checked in" (the number follows your setting) or
"Marked no-show automatically at the end of the day — never checked in", both
from System.

**See also:** [A reservation's page](/daily-operations/reservation-page)

### What if a party marked a no-show automatically turns up?

Press Undo no-show — the reservation page's main button, or on the party's page
in the Done tab of the Reservations tile in Shopify POS. The reservation goes
back to Confirmed (or Pending payment) and can be checked in.

## Settings › Emails › Delivery

### What does the "Sending" badge mean?

Guest email delivery is live: Riserva is sending your emails. There is no
email account for you to set up.

**See also:** [Email settings](/guest-experience/email-settings)

### What does the "Log only" badge mean?

Email delivery is not set up in this environment, usually a development store,
so emails are not delivered. Each one is still written to the reservation's
timeline.

### What is "Sender name"?

The name guests see in the From line of every guest email. Your shop name
shows in the field as a suggestion, but it is not filled in for you: left
blank, guests see the sending address alone, as the field's help text says:
"Left blank, guests see the sending address alone." Type the name you want.

### What does "Sends from" show?

The email address your guest emails actually go out from right now. It is
Riserva's address unless you have connected and verified your own.

### What does "Starter sender — guest email is not being delivered yet. Contact Riserva support to finish setting up delivery." mean?

Riserva is using a temporary sending address that cannot deliver to guests,
so guest emails are not going out yet. It appears on test setups; contact
Riserva support if you see it on your live store.

### What is "Reply-to"?

Where a guest's reply lands when they answer an email. Leave it blank and
replies go to the sending address, which nobody at your winery reads, so it is
worth setting.

**See also:** [Email settings](/guest-experience/email-settings)

### What is "Custom sending address"?

An optional address at your own domain, like [reservations@yourwinery.com](mailto:reservations@yourwinery.com), for
guest emails to come from. Type it, press **Connect domain**, add the DNS
records Riserva shows, then press **Check verification**.

**See also:** [Email settings](/guest-experience/email-settings)

### What does the "Verified" badge on my sending address mean?

Your domain passed its DNS checks and guest emails now go out from your own
address.

### What do "Not checked yet" and "Pending verification" mean on my sending address?

Your domain is connected but not verified yet. Make sure the DNS records shown
are published, then press **Check verification**. Until it says Verified,
guest emails keep going out from Riserva's address.

### What do "Partly verified", "Partly failed", "Verification failed" and "Temporarily unverified" mean?

They are the verification checker's word for your domain when it is not fully
verified: some records passed and others did not, the check failed, or a
domain that passed is failing for now. In every case guest emails go out from
Riserva's address until it shows Verified. Compare your DNS records with the
ones shown, fix any difference, and press **Check verification**.

### What do "Type", "Host", "Priority", "Purpose" and "Value" mean in the DNS records?

They are the fields to copy into your domain's DNS settings, wherever your
domain is managed. Paste the Host exactly as shown — it is already in the form
DNS providers expect — and the Value in full. Priority appears only on records
that need one, and Purpose names what the record is for.

### How long does verification take?

DNS changes usually take a few minutes and can take up to 72 hours. Press
**Check verification** whenever you like.

### What does "Guest email keeps sending from … until … is verified" mean?

Nothing breaks while you wait: guest emails keep using Riserva's address until
your domain verifies, then switch to yours.

### What does "Remove" do on my custom sending address?

It stops Riserva using your address straight away and puts guest emails back on
Riserva's address. It does not undo your DNS records. This acts immediately; it
is not part of the save bar.

### What does "Couldn't fetch the latest domain status" mean?

Riserva could not check your domain just now, so it is showing the last status
it knew. Reload the page in a while.

### What does "No DNS records are available to show yet" mean?

Riserva does not have your domain's DNS records yet. Press **Check
verification** to fetch them.

## Settings › Emails › Content

### What do "Opening lines" and "Closing lines" change?

Opening lines replace the sentence after the greeting; closing lines are the
last thing the guest reads, above the footer. Pick the email in the **Email**
menu first. Leave either blank to keep Riserva's wording.

**See also:** [Email settings](/guest-experience/email-settings)

### Can I change the greeting or the reservation details in an email?

No. The greeting ("Hi Marguerite,") always stays, and the date, time, party
and confirmation code always stay in the details card. Your words change how
the email reads, never what it says.

### Why isn't "New reservation alert" in the Content menu?

That email goes to your team, not to guests, and its first line is the
reservation information itself, so it is not rewritable.

## Settings › Emails › Design

### What does "Accent colour" change?

The colour of the button and the confirmation code, and nothing else. Pick a
colour dark enough for white text. Click the swatch for a picker, or type a
hex code like #6B2233.

### What does "Page colour" change?

The background behind the email card. Nothing sits directly on it, so it can
be as dark as you like.

### What does "Card colour" change, and why must it stay light?

The surface the words sit on. The text is always dark, so Riserva only accepts
a light card colour; pick a paler shade if it refuses.

### What does "Heading style" change?

Whether headings use a serif or a sans typeface. Both are fonts every email
client already has, which is why you cannot upload a font.

### What are "Logo" and "Header image"?

The logo sits above the heading at 150px wide; the header image is a banner
across the top of every guest email. Drag an image in to upload it, then save
— the toast "Image uploaded — save to apply" reminds you. Many email clients
block images, so emails still read well without them.

### What does "Use each experience's photo as the email banner" do?

On, a guest's email shows the photo of the experience they booked as its
banner, when the experience has a photo. Off, every email carries the header
image instead.

### What is the "Footer line"?

One line under your name at the bottom of every email, up to 200 characters —
an address, a phone number, or why the guest is hearing from you.

## Settings › Emails › Preview & test

### What does the email preview show?

The real email, built from what is on screen right now, including unsaved
changes. Pick the **Email** and an **Experience** to see exactly what a guest
of that experience receives, or "Sample reservation" for a generic example.
Draft experiences are marked "(Draft)".

**See also:** [Email settings](/guest-experience/email-settings)

### What does "Expand preview" do?

It opens the preview full-size, with a **Desktop / Mobile** switch. Mobile
shows the genuine phone layout, not a squeezed desktop one.

### What does "This alert goes to your team, so guest copy doesn't apply" mean?

You are previewing the New reservation alert, which goes to your staff.
Your opening and closing lines are not used in it.

### What does "Send test" send?

The email and experience chosen in the Preview & test pickers, to the address under **Send to**,
using your saved settings. If you have unsaved changes, the help text says
"Unsaved changes aren't included — save first to test them."

### What does "Logged, not sent" mean after a test?

Email delivery is not set up in this environment, so the test was built and
recorded but not delivered. This happens on development stores.

### What does "Test email sent to …" mean?

The test was handed off for delivery. Check that inbox, and its spam folder
if it is not there.

## Settings › Emails › Notifications

### What do the switches under "Notifications" do?

Each switch turns one email on or off. All are on to start with. A switched-off
email is not sent, and Riserva records on the reservation's timeline that it
was skipped.

**See also:** [Customer emails](/guest-experience/customer-emails)

### When does each email send?

"Reservation confirmed": when a guest's online checkout confirms a
reservation, or a pending online payment clears, and when staff book a Phone
reservation in the admin or book on POS with an email address on it (walk-ins
and seated waitlist parties do not get it). "Pre-visit reminder": once, up to 24
hours before the visit; "Reservation cancelled": when a guest or staff
cancel. "Payment failed": when a saved-card charge is declined;
"Reservation rescheduled": when a reservation moves to a new time or
experience. "Waitlist — table ready": when a host presses Notify. "New
reservation alert": to your team, when a reservation is made online.

**See also:** [Customer emails](/guest-experience/customer-emails)

### What does the "Not sending yet" badge mean?

The email exists and can be previewed, but nothing in Riserva sends it yet.
It appears on "Payment due". Its switch and subject are kept for when it
starts sending.

**See also:** [Customer emails](/guest-experience/customer-emails)

### What does "New reservation alert" send, and to whom?

It emails your team — not the guest — when a reservation is made online:
the guest's name, the party, the date and time, and the guest's email and
phone. It goes to the addresses in the **Alert addresses** field under it.
Reservations your staff make in the admin or on the register do not send it.

**See also:** [Customer emails](/guest-experience/customer-emails)

### What is the "Alert addresses" field?

It is who gets the New reservation alert: up to five email addresses,
separated by commas, for example "[tastingroom@yourwinery.com](mailto:tastingroom@yourwinery.com),
[manager@yourwinery.com](mailto:manager@yourwinery.com)". Each address gets its own copy. Leave it empty and no
alert is sent. It saves with the save bar like the rest of the page, and greys
out while the alert's switch is off.

**See also:** [Email settings](/guest-experience/email-settings)

### What is the "Subject line" field under each email?

It replaces that email's subject. Leave it blank to keep Riserva's own subject,
which is shown greyed inside the field. The field greys out while the email's
switch is off.

## When something is refused: Emails

### Why does it say "Keep the card light enough for the text to read — try a paler shade"?

The card colour is too dark for the dark text that sits on it. Choose a
lighter colour.

### Why does it say "Use a hex value like #6B2233"?

Colours must be hex codes: a # followed by six letters or numbers. Use the
swatch picker, or paste a code such as #6B2233.

### Why does it say "… is not a valid email address" when I save alert addresses?

One of the entries in **Alert addresses** is not a complete email address; the
message appears in red under that field (and in a banner at the top of the
page) and quotes the entry it could not read. The save bar keeps saying
"Unsaved changes" until it is fixed. Fix or remove it and save again.
Separate addresses with commas.

### Why does it say "Alerts can go to at most 5 addresses"?

You entered more than five addresses under **Alert addresses**. Remove some,
or point the alert at a shared team inbox, and save again.

### Why does it say "Reply-to must be a valid email address"?

The reply-to address is not a complete email address. Fix it, or leave it
blank.

### Why does it say "Enter a full email address, like [reservations@yourwinery.com](mailto:reservations@yourwinery.com)"?

The custom sending address must be a complete email address at your own
domain.

### Why does it say "… can't be verified because you don't control its DNS"?

You entered an address at a public mail service, such as Gmail. Only an
address at a domain you own can be verified. Use one at your winery's domain.

### Why does it say "The provider rejected the message"?

The delivery service refused the test email. The banner shows its own reason;
fix what it names and send again.

### Why does it say "Enter a valid email address to send the test to"?

The Send to field is not a complete email address. Enter your own address and
try again.

### Why does it say "No custom sending address is connected"?

Verification was checked, but no custom address is connected any more. Reload
the page and connect one again if you want it.

## Settings › Integrations

### What do the "Connected" and "Not connected" badges mean?

"Connected" means Riserva has the details it needs for that service.
"Not connected" means it has none. The button reads **Manage** when connected
and **Set up** when not.

**See also:** [Klaviyo](/integrations/klaviyo)

### Why does Shopify Flow have no "Connected" badge?

There is nothing to connect. Riserva's reservation triggers appear in Flow's
editor by themselves, so the card only has a **View** button to the page that
explains them.

**See also:** [Shopify Flow](/integrations/shopify-flow)

## Settings › Integrations › Klaviyo

### What does the Klaviyo integration do?

Once connected, Riserva sends an event to Klaviyo at each reservation moment —
confirmed, cancelled, rescheduled, checked in and no-show — so your Klaviyo
flows and segments can react to them.

**See also:** [Klaviyo](/integrations/klaviyo)

### What is the "Public API key"?

The 6-character key from Klaviyo's Account → Settings → API keys, listed as
"Public API Key / Site ID". It is safe to share and is the only key Riserva
needs. Paste it and press **Connect**.

**See also:** [Klaviyo](/integrations/klaviyo)

### What does "Klaviyo connected — reservation events are flowing" mean?

Your key was saved and Riserva starts sending events from now on. Send a test
event to prove the key is the right one.

### What does "Disconnect" do on Klaviyo?

It removes the key straight away and Riserva stops sending events to Klaviyo.
You can connect again any time.

### Why are some guests never sent to Klaviyo?

Guests without an email address are skipped, because Klaviyo events attach to
a profile, which needs an email.

### What does "Send test event" do?

It sends one sample reservation event, of the type picked in **Event**, to the
Klaviyo profile with the email you enter, creating it if needed. Look for it
in Klaviyo under Analytics → Metrics or on that profile's activity feed;
allow a minute.

**See also:** [Klaviyo](/integrations/klaviyo)

### What does "Send all metrics" do?

It sends one sample of every event type at once and lists each result: "sent",
"switched off, not sent", or the reason it failed. Switched-off events are
skipped exactly as they would be for a real reservation.

### Why is the test section greyed out?

No Klaviyo key is connected yet. Connect your public API key on the same Klaviyo page first, then enter
a profile email to send a test.

### Why did my test "succeed" but nothing appeared in Klaviyo?

A mistyped key is refused immediately, but a well-formed wrong key can be
accepted without complaint. Allow a minute, then check the key in Klaviyo
matches the one shown here; seeing the event in Klaviyo is the real proof.

### What do the event names like "Riserva Reservation Confirmed" mean?

They are the names your events appear under in Klaviyo. Confirmed: a
reservation is confirmed online, by staff, or seated from the waitlist;
Cancelled: by the guest or staff; Rescheduled: moved to a new time or
experience. Checked In: the guest arrives; No-show: marked a no-show. The
names never change, so flows built on them keep working.

**See also:** [Klaviyo](/integrations/klaviyo)

### What happens when I switch a Klaviyo event off?

That event stops being sent once you save, and each skipped send is noted on
the reservation's timeline. All events start on.

### What happens if Klaviyo is down when a reservation changes?

The event is sent once and never retried. A failed send is recorded on the
reservation's timeline, and it never blocks or delays the reservation itself.

## When something is refused: Klaviyo

### Why does it say "That's a private API key — never paste it here"?

You pasted a key starting with "pk\_", which is a secret private key. Riserva
refuses it to protect your account. Use the 6-character public key (Site ID)
from the same Klaviyo page instead.

### Why does it say "Enter the 6-character public API key from Klaviyo's API keys page"?

The key must be exactly six letters or numbers. Copy it again from Klaviyo's
Account → Settings → API keys.

### Why does it say "Klaviyo rejected the event"?

Klaviyo refused the test event; its reason is shown in the banner. Check the
key and the profile email, then try again.

### Why does it say "Enter the email of the Klaviyo profile to send the test to"?

The Profile email field is not a complete email address. Enter one — your own
is best.

## Settings › Integrations › Shopify Flow

### What do I configure on the Shopify Flow page?

Nothing. The page explains what Riserva offers in Flow. Riserva's triggers
appear in Flow's editor automatically, under the Riserva name; build workflows
there with **Open Shopify Flow**. If Flow is not installed, the same button
offers it — it is free.

**See also:** [Shopify Flow](/integrations/shopify-flow)

### What are the Flow triggers?

The reservation moments that can start a workflow: "Reservation created" (a
reservation is confirmed online, by staff, or seated from the waitlist),
"Reservation cancelled", "Reservation checked in" and "Reservation no-show".
Each one carries the reservation's code, guest name and email, experience,
party size, date, time and more.

**See also:** [Shopify Flow](/integrations/shopify-flow)

### What does the "Add a note to a reservation" action do?

A Flow workflow can write a note onto a reservation's timeline, found by its
reservation code — for example "VIP: third visit this quarter".

### Why can't I find Riserva's triggers in Flow?

They appear in Flow's editor shortly after Riserva is installed or updated.
When picking a trigger, look for the Riserva category.

## Settings › Memberships

### What are "Member tags"?

The Shopify customer tags that mark a wine-club member, such as club-gold.
Guests carrying any of them get the member badge on their reservations and
can book members-only experiences. Your membership app can tag customers in
Shopify for you.

**See also:** [Party size, cutoffs and who can book](/core-concepts/party-size-and-visibility)

### How do I add or remove a member tag?

Type a tag and press Enter or a comma; it becomes a chip. Click a chip's × to
remove it, or press Backspace in the empty field to remove the last one. Save
with the bar at the top of the page.

### Does the same tag typed twice in different capitals count twice?

No. A tag that matches one already in the list, ignoring capitals, is not
added again.

### What does the "Members-only experiences" group do?

It sets what non-members read when they press **Book** on a members-only
experience. The card stays listed and looks like any other; the booking window
then shows "Reserved for members", your message, a join button and Sign in.
This group holds that message, the join link, the button's words and which
button leads, for your whole store.

**See also:** [Public or members only](/core-concepts/party-size-and-visibility)

### What is the "Message to non-members"?

The words a non-member reads under "Reserved for members" in the booking
window, when they press Book on a members-only experience. It holds up to 400
characters. Leave it blank and the built-in sentence is used: "This experience
is reserved for members of our wine club. Join to book it, or sign in if
you're already a member."

**See also:** [Party size, cutoffs and who can book](/core-concepts/party-size-and-visibility)

### What is the "Join link"?

Your membership signup page — a page on this store, such as
"/pages/wine-club", or a full web address. The join button in the
members-only notice sends non-members there. Leave it blank and the booking
window offers Sign in only.

**See also:** [Party size, cutoffs and who can book](/core-concepts/party-size-and-visibility)

### What is the "Join button label"?

The words on the join button in the members-only notice. It starts as "Join
to book" and holds up to 60 characters; leave it blank and "Join to book" is
used. It shows only when a join link is set.

### What does "Which button leads" mean?

It picks which of the two buttons in the members-only notice is the big one;
the other is a quiet link under it. "Join first, Sign in underneath" (the
default) suits selling the club. "Sign in first, Join underneath" suits a page
where most visitors are already members. Without a join link there is only
Sign in, and a signed-in guest who is not a recognised member never gets Sign
in.

### How do I save the join link?

With the same Save bar at the top of the page that saves the member tags. One
Save keeps the tags, the message, the join link, the button label and which
button leads.

### Where do I choose which members-only experiences non-members can see listed?

On each experience's own page, under Who can book: the checkbox "Show it to
non-members as locked, with a link to join". This settings group only says
what the members-only notice says and where its join button goes.

**See also:** [Public or members only](/core-concepts/party-size-and-visibility)

### Can one store page use a different join link?

Yes. In your theme editor, the "Experiences list" block and the "Experience
booking" block each have a "Members-only experiences" header with their own
join link and join button label. Left blank, they use the ones set here. The
message and which button leads are always the ones set here.

**See also:** [Add the booking widget to your store](/getting-started/add-the-booking-widget)

## When something is refused: Memberships

### Why does it say "The join link must be a page on your store (like /pages/wine-club) or a full web address starting with https\://."?

The join link must start with "/" (a page on your store) or with "https\://"
or "http\://" (a full web address). Fix the link, or clear it, and save again.
Nothing on the page was saved.
