A party of 4 arrives with 6
Change the party size before you check them in. On Host, click the party, then ⋯ → Adjust party size. On the register, open the party and tap More actions → Adjust party size. If the time can’t take six, Host says why and offers Seat anyway. That’s your call, and the timeline records it. Full steps: Adjust a party’s size at the door.If the party is already checked in
Adjust party size is only offered before check-in. For a checked-in party, open the reservation and press Edit reservation. A seated party can’t change size: press Unseat first, then Edit reservation. Full steps: Edit a reservation. If the added guests owe money
On a reservation that was already paid, each added guest owes the price per guest. The payment badge turns Partially paid. Collect it in one of these ways:- At the register: open the party on the Reservations tile and tap Add to cart — collect $X.
- On the reservation’s Payment card: Create payment link for the balance, Mark paid on-site or Waive payment.
A party arrives hours early
Press Check in as usual. When the party is more than your early-arrival window ahead of its time, Riserva asks first:- Move to 11:00 AM and check in puts the reservation on today’s slot and frees the later one.
- Check in without moving keeps the original date and time.
Only part of a party arrives
Use Partial check-in… on the arrow beside Check in (on the register, it’s its own button). Set how many are here. The row then reads “2 of 4 here”. When the others arrive, press All here in the party’s Guests section. The party size and the money don’t change. Full steps: When only part of the party came.A guest wants the tasting fee on their wine bill
It depends on how the reservation pays. Look at the party’s badges, or attach the guest to the register cart and read the Bill credits tile.
Can a party whose card is charged at check-in pay at the register instead?
No. While the card is on file, the register doesn’t offer Add to cart, and
checking in charges the card. Only an “At the visit” experience lets the
register take the fee instead of the card.
Full answers: The credit tile: Bill credits
and At the visit.
The guest’s card was declined
The party shows a red Charge failed badge. The reservation is still held, and the money is now Payment due. Tell the guest their reservation stands and the payment didn’t go through. Riserva emails them about it when an email is on file, unless that email is switched off in Settings → Emails. Then collect it one of these ways:- At the register: Add to cart — collect $X on the party’s page. Ring it like any sale.
- On the reservation’s Payment card: Retry charge tries the card again. Create payment link, Mark paid on-site and Waive payment are there too.
A walk-in wants a table right now
On Host, use the waitlist even if there’s no wait:- Open the Waitlist tab and press Add to waitlist. Only the name is required.
- Press Seat on their row.
- Pick the experience, venue and time, then press Seat party.
You checked in the wrong party
Open that party and use ⋯ → Undo check-in on Host, or More actions → Undo check-in on the register. It goes back to Arriving. A seated party needs Unseat first. If the undo is refused because the card was charged
The check-in already charged that reservation’s saved card, so Riserva won’t undo it. The money is that reservation’s own balance, collected early. The reservation stays checked in.- That party is still coming today: you can leave it. They are already checked in when they arrive.
- The guest should get the money back: open the reservation and press More actions → Cancel reservation. The confirmation shows the policy’s refund. Override the refund amount lets you return up to what the guest paid, with a reason.
A party is still at the table long after its time
Once a checked-in or seated party passes its reservation’s end, it gets a Running over badge on the List and an amber edge on the Timeline and Map.- They’re staying: press Still here. Their end moves out by 30 minutes, as often as you like.
- They’ve left: press Complete.
- Do nothing: the visit ends by itself after the grace period (15 minutes unless you changed it).
The guest has a bill credit
The party shows a Credit $X badge. Ring their purchase first: a credit needs something to come off. Then tap Apply $X credit to sale on the Bill credits tile, or on the party’s page under More actions. The credit is only spent when the sale completes. A cleared cart costs the guest nothing. The register holds one discount per sale. Full steps: Apply a bill credit with the tile.A no-show turns up after all
Host doesn’t show no-shows: not on the List, the Timeline or the Map, and Host’s search doesn’t find them. To find the reservation:- In the admin: open Reservations and pick the Today tab, which lists every status. Or type the guest’s name or code in the search.
- On the register: the Reservations tile’s Done tab.
A party shows Payment due: collect before or after check-in?
Either. Riserva never blocks Check in over money, and a Payment due reservation stays collectable after the visit. The four ways to settle it:- At the register: Add to cart — collect $X on the party’s page, or Add $X fee to sale on the Bill credits tile alongside their wine.
- Create payment link on the reservation’s Payment card.
- Mark paid on-site, when they paid some other way.
- Waive payment, which forgives the whole balance.
