This page explains every label, number, colour and message on the Host page in the Riserva admin: the header, the List view (Arriving, On property, Waitlist), the party panel that opens beside all three views, the Timeline and Map views with their table and time-slot lists, table assignment, and the printed day sheet and day export. The same page opens full-screen inside Shopify POS, so everything here applies there too.

Host › Header

What is the Host page?

Host is the screen your team keeps open during service: it shows one day at one property, who is arriving, who is on the property, and who is waiting for a table. It always opens on today. Checking guests in, seating them and handling walk-ins all happen here. See also: Running service with the Host view

What is the date under the word “Host”?

It is the full date of the day you are looking at, for example “Thursday, October 1, 2026”. It changes when you use the arrows or pick another date. “Today” is worked out in the property’s own timezone, not the timezone of the device you are holding.

What do “List”, “Timeline” and “Map” do?

They are three ways to look at the same day. List is the check-in list with the Arriving, On property and Waitlist tabs. Timeline lays the day out left to right, one row per table or experience. Map shows each drawn room as it stands right now. Each device remembers the view it was last left on. See also: Running service with the Host view

Why don’t I see “Timeline” and “Map”?

Timeline, Map and table suggestions are part of Host for every store. If your Host page shows only the List, they are switched off for your store; contact Riserva support to have them turned back on. Without them, Host shows the List only, and nothing else on the page changes. It jumps straight back to today. It only appears when you are looking at another day.

What does the date button between the arrows mean, like “Sat • Aug 8”?

It is the day you are looking at, in short form; it reads “Today” when you are on today. Click it to open a calendar and jump to any date. The arrows either side (“Previous day” and “Next day”) move one day at a time.

What is the button with a location name on it?

It is the location picker: Host shows one property at a time, and this button says which. Click it to switch; a tick marks the current choice. The device remembers your pick, so a tablet at the tasting bar stays on the tasting bar. See also: Locations and venues

What does “All locations” mean?

It shows every property at once, with the location named on each row. It only appears when you have more than one location. In this view the List has no “Now” line, because the rows can be in different timezones, and adding a walk-in asks which property the party is standing at.

Why did Host open on this location and not another?

When a device has never picked a location, Host opens on the one with the most reservations today, each counted in its own timezone. Once someone picks a location on a device, that device remembers it. Pick another from the location button to change it.

What is in “More actions”?

Print day sheet opens a printable list of the day in a new window. Print timeline prints the Timeline for the day. Export day downloads the same day as the day sheet as a spreadsheet file. Suggest tables asks Riserva to choose tables again for the day in view. All of them use the day and location you are looking at. Print timeline and Suggest tables appear only where the Timeline and Map are switched on.

What does “No active locations yet — locations sync from Shopify on the Venues & floor maps page.” mean?

Riserva has no active location to show. Locations come from your Shopify locations; open Settings → Venues & floor maps to bring them in, then return to Host. See also: Locations and venues

Does the Host page update by itself?

The List refreshes after every action you take on it; to see changes made on another device, reload the page. Where Timeline and Map are switched on, they refresh themselves every 30 seconds while the page is on screen.

Host › List › Arriving

What does “Arriving (5)” mean?

Arriving lists the day’s reservations that have not checked in yet, and the number is how many there are. If you are searching, the number counts only the rows that match your search.

What is the “Now · 2:15 PM” line in the Arriving list?

It is a red line at the property’s current time. Parties above the line were due before now and have not checked in; parties below it are still to come. When everyone left is past their time, the line sits at the bottom of the list.

Why is there no “Now” line?

The line only appears when you are looking at today at a single location. On another day, or with All locations selected, there is no single “now” to draw.

Why doesn’t the List say which parties are late?

On the List, lateness is shown by position: every party above the red “Now” line is past its time. Click a row and the party panel shows a yellow “Late” badge once the party is more than 10 minutes past its time; the Timeline and the Map colour such a party yellow.

What does “party of 4” mean on a row?

It is the number of guests on the reservation. Before check-in, if the party changed, click the row and use ⋯ → Adjust party size in the party panel (that changes the reservation and what it costs). If only some of them came, use Partial check-in… on the arrow beside Check in, or Edit guests here after check-in — that records who came and changes nothing else.

What does “2 of 4 here” mean on a row?

A host recorded that two of the party of four have arrived. It replaces “party of 4” on the row once a number smaller than the party is recorded; when the whole party is recorded, the row goes back to “party of 4”. The reservation is still for four, and nothing was refunded. When the others arrive, click the row and press All here in the party panel’s Guests section. Once the visit is completed, the table and time-slot lists on the Timeline and Map say it in the past tense: “2 of 4 arrived”. See also: Running service with the Host view

What does the purple “Member” badge mean?

The guest was recognised as a club member when the reservation was made. On the Timeline and Map the same thing is shown as a small purple diamond. See also: Member benefits

What does the small note icon next to a guest’s name mean?

The guest left special requests. Hover over or tap the icon to read them. On a waitlist row the same icon holds the notes typed when the party was added.

What does the “Overbooked” badge mean?

An online guest’s order arrived for a time that was already full, because the guest took longer than the 12-minute hold to pay and the last places sold in the meantime. Riserva keeps the reservation and flags it rather than dropping a paid guest. A time your team overbooks on purpose does not get this badge. Decide how to fit the party in, or contact the guest. See also: The reservations list

What does the red “Booked after its time” badge mean?

The guest paid for this reservation after its visit had already ended — for example a reservation left in a cart for days and paid later. Riserva kept the reservation but did not send the guest a confirmation. If the party is here, check them in as usual; the decision about the booking is on the reservation page (Open reservation in the party panel), which explains it in a banner and offers Edit reservation to move it or cancel with a refund. The badge goes away once the reservation is moved, cancelled, completed or marked a no-show. See also: Troubleshooting

What does the red “Payment due” badge mean?

Money is owed on this reservation and has not been collected, for example a phone reservation on a priced experience. Click the row: the party panel’s Payment section shows how much (“$120.00 due”) and Collect, which takes you to the reservation’s Payment card to settle it. See also: Payment policies and money states

What does the red “Partially paid” badge mean?

Some money has been collected, but the reservation still owes more, for example because guests were added after it was paid. Click the row: the party panel’s Payment section shows the amount still due, and Collect opens the reservation to collect it. See also: Payment policies and money states

What does the red “Charge failed” badge mean?

The guest’s saved card was charged and it did not go through. The money is now owed, and the line under the row gives the reason Shopify gave. Click the row and press Collect in the party panel’s Payment section to settle it from the reservation’s Payment card, or take a card at the register in Shopify POS. See also: Payment policies and money states

What does the blue “Card on file” badge mean?

The guest saved a card at checkout and has not been charged yet. Usually the balance is charged when you check the party in. For an experience charged “At the visit”, the card waits until the visit is closed out instead, so the fee can be settled at the register first; the line under the row says which. Do not ring the guest up at the register for the reservation unless that line says it can be settled there, or they would pay twice. See also: Payment policies and money states

What does the blue “Charge scheduled” badge mean?

The guest saved a card and Riserva will charge it on a set date before the visit; the line under the row says when. There is nothing for you to do, and you should not collect the money again at the register. See also: Payment policies and money states

What does the blue “Charging” badge mean?

Riserva has asked Shopify to charge the saved card and Shopify has not finished yet. It is not a payment yet, but do not collect again while it says this; it normally turns into Paid, or into Charge failed if the card is refused.

What does the green “Credit $50” badge mean?

The guest prepaid a fee that counts toward what they buy on the day, because the experience has “Credit the fee toward the guest’s bill” turned on. Apply the credit at the register with the Bill credits tile in Shopify POS. See also: Riserva in Shopify POS

What is the grey line under the guest’s name, like “Estate Tasting · Barrel Room · T4”?

It is the experience, the venue, and the table or tables the party has, in that order. Joined tables read like “T2 + T3”. With All locations selected, the location’s name is added at the end.

What does “(suggested)” after a table name mean?

Riserva picked that table and may still move it to fit another party in. It stops being moved once the party checks in. To make the table firm, click the row and press Keep in the party panel’s Table section. See also: Running service with the Host view

What does “Charges $120.00 from Sun, Sep 20, 2026, 2:00 PM · collected within the hour · Visa •••• 4242” mean?

The guest has not paid yet but will: their saved card (here a Visa ending 4242) is charged from that date and time, within the following hour. Nothing needs doing at the door, and you should not charge them again. See also: Payment policies and money states

What does “at the next collection run — queued” mean?

The moment to charge the saved card has already passed and the charge is waiting for Riserva’s next collection, which runs every hour. It has not failed; it just has not run yet.

What does “Charges $120.00 when you check the party in” mean?

The guest saved a card and the balance is charged the moment you press Check in. You see the result of the charge on the Host page straight away.

What does “Charges $120.00 when the visit is closed out, unless it is settled at the register” mean?

The experience is charged “At the visit”: the guest saved a card, and checking in does not charge it. You can settle the fee at the register first, beside anything else they buy, with the Bill credits tile in Shopify POS. If nobody does, the saved card is charged once the visit is completed (by a host or by itself): from 15 minutes after that, at Riserva’s next hourly collection, so a register sale still in progress lands first. See also: Payment policies and money states

What does “Charges the balance” mean instead of an amount?

The reservation has a saved card, but Riserva cannot name a figure because the experience’s price and what has been collected currently match. The card will be charged whatever is outstanding on the order at that time.

What do “saved card”, “(exp 12/27)” and “(expired)” mean in the money line?

They describe the card Riserva will charge. “Saved card” means the card type is not known; “(exp 12/27)” is its expiry date; “(expired)” means the card has expired, so the charge will likely fail and you should plan to collect another way.

What does “Charging… confirming with Shopify” mean?

The saved card is being charged right now and Shopify has not confirmed it yet. Do not collect again; the line updates once Shopify answers.

What does “Payment due $120.00 — …” (in yellow) mean under a row?

The guest’s saved card was refused, so that amount is owed; the reason Shopify gave follows the dash. Click the row and press Collect in the party panel’s Payment section to settle it from the reservation. A reservation that owes money for any other reason shows only the red badge on the row, with the amount in the panel. See also: Payment policies and money states

Why does a row have only one button?

The button is the party’s next step: Check in on Arriving, Seat for a checked-in party and Complete for a seated one. It is the same word as the dark button in the party panel. Everything else — Adjust party size, No-show, Still here, Undo check-in, Unseat, collecting money — is in the party panel: click anywhere else on the row to open it. See also: Running service with the Host view

What happens when I click a row (not its button)?

The row is selected — it turns grey with a dark bar along its left edge — and the party panel opens to the right of the list (under it on a narrow screen), showing that party. Clicking the row’s button acts without selecting it. Press Close in the panel to clear the selection.

What is the arrow next to “Check in”?

It opens one more way to check in: Partial check-in… (“Only part of the party is here”). The main part of the button checks the whole party in. A party of one has no arrow, because there is nothing to split.

What does “Partial check-in…” do?

It opens the “Partial check-in — …” window, which asks “How many of the party are here?” on a slider from 1 to the whole party, starting one below it. The reading beside it says, for example, “3 of 4 here”. Press Check in to check the party in and record that number together; Cancel does nothing. A party that is well ahead of its time is then asked the early-arrival question, as with the ordinary Check in. See also: Running service with the Host view

What does “Record the rest when they arrive. The party size and what was paid stay as they are.” mean?

The number you pick is only a count of who is here now. When the others arrive, press All here in the party panel. The reservation stays for the whole party and nothing is refunded; to make the party smaller and change what it costs, use Adjust party size before check-in or Edit reservation on the reservation’s page.

What does “No arrivals left today.” mean?

Nobody is still to arrive on the day you are viewing: everyone has checked in, or nothing was booked. Confirmed reservations for the day show up here until they check in.

Where did a party go after I checked it in, completed it or marked a no-show?

A checked-in party moves to On property. A completed, no-show or cancelled reservation leaves the List altogether. Find it under Reservations, or on the Timeline, where completed visits stay as grey bars.

Host › List › Checking in

What happens when I press “Check in”?

The whole party is checked in: it moves to On property and the visit is recorded. If the guest has a saved card that has not been charged yet, it is charged at that moment, whatever the experience’s usual timing, except for an experience charged “At the visit”, whose card waits until the visit is closed out. If the party is well ahead of their reservation time, Riserva asks first whether to move the reservation to now. When only part of the party is here, use Partial check-in… on the arrow beside the button instead.

What does “Checked in, but the guest count was not saved: …” mean?

You used Partial check-in…: the party is checked in, but the number of guests here could not be recorded; the reason follows the colon. Click the party and use ⋯ → Edit guests here to record the number again. The check-in itself stands.

What does a blue “Checked in — …” message mean?

The party is checked in and a charge to their saved card has been started but not confirmed yet. Nothing more needs doing; the reservation shows Charging until Shopify answers.

What does “Checked in, but the check-in charge failed: …” mean?

The party is checked in, but charging their saved card did not work; the reason follows the colon. The money is now owed. Open the reservation to retry, send a payment link, or take payment at the register. See also: A reservation’s page

Why did “Check in” open a window called “Early arrival — …”?

The party has arrived more than your early-arrival window before their reservation’s time (60 minutes unless you changed it), whether that time is later today or on another day. Riserva asks whether to move the reservation to now so the later seat is released. A late party never sees this. Change the window under Settings → Reservations → Early arrivals. See also: Running service with the Host view

What does “Booked for Wed, Sep 23 at 12:00 PM — 5 days from now.” mean?

It is the time the reservation is actually for, and how far ahead of it the party is. When the reservation is later the same day, only the time is shown, for example “4:00 PM — about 3 hours from now”.

What does “Move to 2:00 PM and check in” do?

It moves the reservation onto that time today at the same venue, releases the seat the party was holding later, records the visit today, and checks them in. The button names the time it will use, which may be the slot running now or the next one today. The guest is not emailed about this move.

What do “That slot is in progress right now.” and “Nothing is running right now — that is the next slot today, …” mean?

They say where the move would put the party. “In progress” means the time slot covering this moment. “Nothing is running right now” means no slot is running, so the move uses the next slot today, and the sentence says how soon it starts. After hours it reads “That was today’s last slot — it has already ended; the visit is recorded on today.” — the move still files the visit on today, at that last time.

What does “Check in without moving” do?

It checks the party in and leaves the reservation on its original date and time. Their later seat stays held, so another guest cannot book it.

Why is there no move button, only “There are no times for this experience at this venue today…”?

The experience has no time slots today at that venue, so there is nothing to move the reservation onto. Check the party in without moving, or change the reservation from its edit page. See also: Editing a reservation

What does “Today’s 2:00 PM time is full for a party of 4. You can seat them anyway — host’s call.” mean?

The time slot the move would use has no room for this party. You can still do it: press Seat them anyway to move the reservation onto that full slot over capacity and check them in. The reservation’s history records that you chose to.

Host › List › Adjust party size

What is the “Adjust party size — …” window?

It changes how many guests are on the reservation; the line under the field, such as “Currently a party of 4 at 2:00 PM.”, shows what is booked now. Riserva checks the new size against real availability before saving. Open it from the party panel: click the arriving party’s row (or its bar or table on the Timeline or Map), then ⋯ → Adjust party size. See also: Running service with the Host view

What does “Seat anyway” in the Adjust party size window do?

It saves the new party size even though it does not fit, after Riserva told you why (for example “The slot is sold out at the new size.”). It is your call as host, and the override is recorded on the reservation.

Does shrinking a party refund the guest?

Yes, as far as your cancellation policy allows: removing guests is treated like cancelling those places, so the guest gets back what the policy grants at that moment and nothing more. A message tells you when part of it is kept. Refunding beyond the policy is done from the reservation’s page. See also: Cancellation policies

What does “Per the cancellation policy, … isn’t refundable this close to the visit.” mean?

You removed guests, and your cancellation policy does not refund those places this close to the visit, so the money stays on the order. A similar message, ”… is refundable (50%) — … stays on the order”, means part was refunded and the rest kept. See also: Cancellation policies

What does “Party size updated. A buyout is one price for the whole venue, so nothing owed changed.” mean?

The experience books the whole venue for one flat price, so adding or removing guests does not change the bill. No money was added or refunded. See also: Capacity strategies explained

What does “Party grew, but the added guests couldn’t be billed automatically — check the payment state.” mean?

The new guests were added, but Riserva could not add their cost to the reservation’s balance from here. Open the reservation and check its Payment card before the guests leave.

What does “The $… refund didn’t complete — it’s recorded as owed on the reservation, retry it from the Payment card.” mean?

The party size changed, but the refund to the guest did not go through. Riserva has not forgotten it: the reservation’s Payment card shows a refund owed with a Retry button. See also: Cancellations and refunds

What does “The gateway allowed … of the … refund — verify in Shopify.” mean?

Shopify refunded less than Riserva asked for. Check the order in Shopify to see what the guest actually got back.

What does “The refund wasn’t sent — the reservation’s payment changed concurrently. Refresh and retry.” mean?

Someone else changed the reservation’s money at the same moment, so Riserva stopped rather than risk refunding twice. Reload the page and look at the reservation before trying again.

Host › List › No-show

What does the “Mark no-show” window do?

It opens from ⋯ → No-show in the party panel of an arriving party, on the List, the Timeline or the Map, and asks you to confirm. Mark no-show records that the party never arrived; the reservation leaves the List and stays on record as a no-show. Press Keep reservation to back out. A no-show reservation can still be sent a payment link from its page. If the guest turns up after all, open the reservation and press Undo no-show in its menu to put it back on the Arriving list. See also: Set up the waitlist, early arrivals and ending visits

Why did a party disappear from Arriving without anyone marking it?

Your store marks no-shows by itself (Settings › Reservations › No-shows), and the party never checked in: either the wait after its reservation time had passed, or the day had ended. Riserva marks such parties when the day is next opened on Host or the register, and at least once an hour, and the reservation’s timeline says it was marked automatically. Press Undo no-show on the reservation’s page if the guest walks in. See also: Set up the waitlist, early arrivals and ending visits

I marked a no-show by mistake. How do I take it back?

Open the reservation (find it under Reservations) and press Undo no-show, the page’s main button. It goes back to Confirmed (or Pending payment, if that is what it was marked from), returns to the Arriving list, and can be checked in. The Host List itself has no Undo no-show button, because a no-show leaves the List.

Host › List › On property

What does “On property (3)” mean?

On property lists parties who have checked in or been seated and are still here; the number counts them. The line “3 parties on property” at the top of the tab says the same thing.

What do the blue “Checked in” and green “Seated” badges mean?

“Checked in” means the party has arrived. “Seated” means they have sat down. A tasting bar can go from checked in straight to complete without ever seating. When a host recorded that only part of a checked-in party is here, the badge reads “Partial check-in” instead.

What does the yellow “Partial check-in” badge mean?

The party is checked in, but a host recorded that only part of it is here — the row reads, for example, “2 of 4 here”. It turns back into “Checked in” when you press All here in the party panel’s Guests section, or record the whole party with Edit guests here. The reservation is still for the whole party and nothing was refunded. See also: Running service with the Host view

What does the small circle at the start of a status badge mean?

It shows how far along the visit is, the way Shopify marks orders: an empty circle on “Confirmed” and “Pending payment” (still to arrive), a full circle on “Checked in” and “Seated” (the whole party is here), and a half-filled circle on “Partial check-in”, or on “Seated” when not everyone came.

What does the yellow “Running over” badge mean?

The party is checked in or seated and is past its reservation’s end time, or past the extra time a Still here press gave it. If they really are still here, press Still here in the party panel (the badge goes away until that extra time runs out); if they have left, press Complete. Otherwise Riserva ends the visit by itself when your Ending visits setting says: shortly after the end, at the end of the day, or never. The Timeline and Map use the same rule and show it as an amber edge.

Where does the row say when a visit ends by itself?

Only on the Running over badge: hover it and the tooltip reads “Ends by itself at 2:45 PM” (the reservation’s end plus the grace, 15 minutes unless you changed it) or “Ends by itself at the end of the day”. Before a party is running over the row says nothing about it — it is a setting, not a fact about the party, and the row stays one line of facts. See also: Running service with the Host view

What does the tooltip “Ends by itself at the end of the day” mean?

Your store ends visits at the end of the day: Riserva marks the party done at midnight, property time, or at its own end if that is later. You do not have to press Complete.

Which button does an On property row show?

One: Seat for a checked-in party, Complete for a seated one. Click anywhere else on the row to open the party panel, which has the rest: Complete or Still here beside the dark button, and under ⋯ the less likely steps — Edit guests here and Undo check-in or Unseat. See also: Set up the waitlist, early arrivals and ending visits

Why is there no “Ends by itself” tooltip on a Running over badge?

Your store is set so visits never end by themselves, so parties stay on property until someone presses Complete. To change it, open Settings → Reservations → Ending visits and choose “After the scheduled end” or “At the end of the day”.

Why did a party disappear from “On property” when nobody pressed Complete?

Riserva completed the visit by itself: its reservation ended and the grace period passed, or, if your store ends visits at the end of the day, midnight came. The reservation’s history says it ended automatically, never that someone pressed the button. To keep a lingering party on the list, press Still here before that time.

What does “Seat” do?

It records that a checked-in party has sat down, and the badge turns to “Seated”. It does not choose a table; tables are chosen on the reservation’s page or by dragging on the Timeline and Map.

What does “Complete” do?

It ends the visit now: the party leaves On property and its table shows as free. A checked-in party can be completed without being seated first.

What does “Still here” do?

It tells Riserva the party is lingering, and moves the expected end out by 30 minutes from now (or from the current end, if that is later). You can press it as many times as you like. It appears in the party panel only once the party is running over — beside Seat or Complete, with Complete moving under ⋯ for a checked-in party — and pressing it clears “Running over” on the List, Timeline and Map until the new end passes. It does not stop online guests booking that time.

What does “Edit guests here” do?

It opens the “Guests here — …” window, where you record how many of a checked-in or seated party actually came — for example two of four, with the other two on the way, or one guest who stayed home sick. The slider runs from 1 to the party size and starts at what was recorded before, or the whole party; press Save. The party size and what the guest paid do not change; Reports count the guests who came, and the reservation’s history says, for example, “2 of 4 guests here”. It is under ⋯ in the party panel for parties of two or more, and is the Edit button in the panel’s Guests section. See also: Running service with the Host view

What does “Enter a number from 1 to 4 — the party is 4.” mean?

The number of guests here must be between 1 and the party size: a party that checked in has at least one guest here (if nobody came, undo the check-in and mark a no-show). On Host the slider cannot go past the party, so you see this only when the party size changed while the window was open; close it and open it again. To record more guests than the reservation is for, first change the party size (Adjust party size before check-in, or Edit reservation on the reservation’s page), then record who is here.

What does “Guests can be counted once the party is checked in.” mean?

The reservation is not checked in, seated or completed — perhaps someone undid its check-in or marked it a no-show a moment ago. Refresh the page; check the party in first, then record who is here.

What does “Someone else changed this reservation a moment ago. Refresh and try again.” mean in the Guests here window?

The reservation changed at the same moment you saved, for example someone recorded the guests here on another device, so your number was not saved. Reload the page, check what is recorded now, and save again if it is still wrong.

What does “Undo check-in” do?

It takes back a check-in pressed by mistake. The party goes back to Arriving as “Confirmed” (or “Pending payment”, if that is what it was checked in from), its check-in time, any Still here time and any count of guests here are cleared, and its table may be suggested afresh. The reservation’s history reads “Check-in undone — the party is back among those arriving”, with your name. See also: Running service with the Host view

What does “Unseat” do?

It takes back a Seat pressed by mistake. The party goes from “Seated” back to “Checked in” and stays on property; its seat time is cleared. The reservation’s history reads “Party unseated — checked in, not yet at a table”, with your name. To undo the check-in as well, press Undo check-in afterwards. See also: Running service with the Host view

What does “No parties on property.” mean?

Nobody is checked in or seated right now. Checked-in and seated parties show up here.

Host › List › Waitlist

What does “Waitlist (2)” mean?

It is the walk-ins waiting for a table, and how many there are. The waitlist is always the live, current list. See also: Running service with the Host view

What does “Waitlist is live — showing current parties regardless of the date above.” mean?

You are looking at another day, but the waitlist always shows who is waiting right now. Walk-ins are a today thing, so the date above does not filter it.

What do “quoted 15m · waiting 22m · notified 3m ago” mean?

“Quoted 15m” is the wait you promised the party; “waiting 22m” is how long they have actually been waiting; “notified 3m ago” is how long since you told them their table was ready. A phone number, when given, follows at the end.

What does the blue “Notified” badge mean?

You have already pressed Notify for this party. The Notify button is greyed out from then on, so the party cannot be told twice.

What does the note “Joined online — wanted …” mean?

The guest joined the waitlist from your website’s booking widget when today was fully booked, and the note names the experience they wanted. Treat them like any walk-in; they gave an email address, so Notify reaches them.

What does “Notify” do?

It marks the party as told their table is ready and sends them the “table ready” email if they gave an email address. There is no text message, so tell a party with no email in person. See also: Customer emails

What does “Seat” on a waitlist row do?

It turns the walk-in into a real reservation: pick the experience, venue and time, then press Seat party. Riserva creates the reservation, checks it in and seats it in one go. Hosts can seat inside the online cutoff and into members-only experiences.

What do “Finding open times…” and “No open slots today for a party of 4 on this experience.” mean?

Riserva is looking for times that can take this party today; then it lists them. “No open slots” means nothing has room for that party size on that experience. Try another experience, or keep the party waiting.

What does “No active experiences to seat this party into.” mean?

None of your experiences is published, so there is nothing to seat a walk-in into. Publish an experience first. See also: Publish an experience

Why is the “Seat party” button greyed out?

An experience, a venue and a time must all be chosen, and Riserva must have finished finding open times. It picks the next upcoming time for you once the times load.

What does “Remove” on a waitlist row do?

It takes the party off the waitlist, after you confirm in the “Remove from waitlist” window. Press Keep waiting to back out. Use it when a party leaves without being seated.

What does the “Add to waitlist” window ask for?

A name (required), party size, phone, email, the quoted wait in minutes, and notes. The email is what lets Notify reach them later. With All locations selected, it also asks which location the party is at.

What does “No one waiting.” mean?

The waitlist is empty. Walk-ins without a table go here with a quoted wait; press Add to waitlist to add one. It filters the three tabs as you type. Reservations match on guest name, reservation code, phone and email; waitlist parties match on name and phone. The counts on the tabs follow the search.

What does ‘No matches for “smith”’ mean?

Nobody in this tab matches what you typed. Press Clear search to see everyone again, or check the other tabs.

Host › List › When something is refused

What do the reasons in the Adjust party size window mean?

They say why the new size does not fit. “The slot is sold out at the new size.” means not enough places remain; “No table can seat a party this size at that time.” means no free table is big enough. “The pacing limit is reached for that window.” means your limit on parties per window is used up; “The new size is outside this experience’s party bounds.” means it is below the minimum or above the maximum party size. You can press Seat anyway in every case. See also: Capacity strategies explained

What does “A private event books the whole venue at that time.” mean?

Someone has booked the whole venue for that time, so no other party fits there. Choose another time or venue, or override if you are sure.

What does “Someone is checking out for that time right now (frees up within ~12 minutes).” mean?

An online guest is in the middle of paying for the last places at that time, and Riserva holds them while they do. If they do not finish, the places free up within about 12 minutes. You can override.

What does “The reservation’s slot is no longer on the schedule.” mean?

The time this reservation is booked for has since been removed from the experience’s schedule, so Riserva cannot check the new size against it. You can still save with Seat anyway.

What does “Party size must be a positive number” mean?

The party size field is empty, zero, more than 100 or not a whole number. Enter a number from 1 to 100.

What does “The party size can only be changed before the visit ends. This reservation is past that point.” mean?

The reservation’s status no longer allows a party-size change, usually because it was completed, cancelled or marked a no-show on another device. Reload the page.

What does an error like “This reservation is cancelled, so it can’t be checked in. Refresh the page to see where it stands.” mean?

The step you pressed is not possible from the reservation’s current status, usually because someone already changed it on another device. The first part says where the reservation stands now (for example cancelled, already checked in, already seated or marked as a no-show); the second names the step you pressed (checked in, seated, completed, marked as a no-show). Reload the page to see where it stands.

What does “This check-in already charged the guest’s saved card, so it can’t be undone. The payment stays on the reservation — edit or cancel it instead.” mean?

Checking this party in charged the card the guest saved at checkout, so Undo check-in is refused: the money cannot be put back from Host. The party stays checked in. If the reservation is wrong, edit it or cancel it from its page, where refunds follow your policy. A charge only waiting for the hourly collection does not block an undo.

What does “The reservation’s order was marked fulfilled when the party was checked in, so the check-in can’t be undone.” mean?

When the guest saved a card at checkout to pay later, checking in marks the reservation’s Shopify order fulfilled, and that cannot be taken back from Host. Undo check-in is refused and the party stays checked in. Edit or cancel the reservation from its page if it is wrong.

What does “This reservation is already seated, so its check-in can’t be undone. Refresh the page to see where it stands.” mean?

A seated party is walked back one step at a time. Press Unseat first, then Undo check-in. If you did not seat the party, someone else did on another device; reload the page.

What does “Reservation not found.” mean?

Riserva could not find that reservation, usually because the page is out of date. Reload the page.

What does “Only a party on the property can stay longer.” mean?

Still here only works for a party that is checked in or seated. The party was probably completed a moment ago, by someone else or automatically.

What does “The reservation changed a moment ago.” mean?

Someone or something changed the reservation at the same moment, so your tap was not applied. Reload the page and try again.

What does ”… has no times today at this venue — check the party in without moving, or move the reservation from its edit page.” mean?

You chose to move an early party to now, but the experience has no times today at that venue. Press Check in without moving, or change the reservation from its edit page.

What do “Guest name is required”, “Quoted minutes must be a positive number” and “Location not found” mean?

The walk-in could not be added. Type a name; enter the quoted wait as a whole number of minutes, or leave it blank; and, with All locations selected, pick the location again.

What do “Entry is no longer waiting” and “Entry is no longer on the waitlist” mean?

The party was already notified, seated or removed, often from another device. Reload the page to see the current list.

What do “Party already seated”, “Party already left” and “This party is already being seated” mean?

Someone already seated or removed this waitlist party, or is seating them right now on another device. Reload the page; the party will be on the On property tab if they were seated.

What do the Seat party errors such as “That time just sold out.” mean?

The time you chose filled up, or stopped fitting, before you pressed Seat party. “No table can seat this party at that time.”, “That time has reached its pacing limit.”, “That time already has as many parties as it allows.”, “A private event books the whole venue at that time.” and “That party size is outside this experience’s limits.” give the reason. “Someone is checking out for that time right now. It frees up within about 12 minutes if they don’t finish.” means an online guest is paying for those places. “That time is no longer offered. Pick a time from the list.” means the time changed; choose again. Pick another time or venue.

What does “Reservation RES-… was created, but the check-in did not go through: … Finish seating from the reservation.” mean?

The walk-in’s reservation was created, but the next step did not complete, so the party is still on the waitlist. Open the reservation with that code, check them in and seat them from there; do not seat them from the waitlist again, or they would be booked twice. A similar message, “Reservation RES-… is checked in, but seating did not go through: … Finish from the reservation.”, means only the seating step is left.

Host › Timeline

What is the Timeline?

It lays the day out left to right, with hours across the top and one section per venue. Each row is whatever can run out: a table, an experience’s places per start time, or a whole room. Tap a party to open the party panel on the right — the same one as on the List — or tap a table’s name or a start-time block to list who is booked there. See also: Running service with the Host view

What do “12 guests · 4 arrived” next to a venue’s name mean?

“12 guests” is everyone booked at that venue that day, including finished visits. “4 arrived” is how many of those guests have checked in, been seated or completed; for a party where a host recorded that only part of it came, it counts the number recorded (“2 of 4 here” adds 2, not 4). Cancelled and no-show reservations are not counted.

What do “4 seats” and “8 seats · shared” under a table’s name mean?

“4 seats” is how many guests that table holds. “Shared” marks a communal table, such as a bar, where several parties can sit at once until the seats run out. Tap the table’s name to list everyone booked at it that day. See also: Tables and the floor map

What does a “Guests per time” row mean?

It is an experience that sells a number of places per start time rather than tables, such as most tastings and tours. Instead of one bar per party, it shows one block per start time with the guests booked against the limit. See also: Capacity strategies explained

What does a “Whole venue” row mean?

It is an experience that books the entire venue, such as a private event or buyout. Each reservation is one bar across the time it holds the room. See also: Capacity strategies explained

What does the “Unassigned” row with “No table yet” mean?

These parties booked a table experience but have no table yet, usually because the time is too full for Riserva to fit them anywhere. The row sits at the top of the venue so nobody is missed. Drag the party’s bar onto a table’s row, or use More actions → Suggest tables after freeing one. See also: Running service with the Host view

What is a bar called “Checking out”?

Someone is paying for that time online right now, and Riserva is holding the places for them. It becomes a real reservation if they finish, or disappears within about 12 minutes if they do not. You cannot open or move it.

What does a white bar mean?

The party is still to arrive and their time has not started yet. The legend calls it “Arriving”.

What does a yellow bar mean?

The party is late: they are more than 10 minutes past their start time and have not checked in. The legend calls it “Late”. Tap the bar to check them in, or mark a no-show.

What does a blue bar mean?

The party has checked in but has not been seated. The legend calls it “Checked in”.

What does a green bar mean?

The party is seated. The legend calls it “Seated”.

What does a grey bar mean?

The visit is finished: completed by a host or ended by itself. The legend calls it “Done”. It stays on the Timeline so you can see how the day went.

What does a bar with an amber edge mean?

The party is running over: checked in or seated, and past its reservation’s end time, or past the extra time a Still here press gave it. The legend calls the amber edge “Running over”. The bar keeps its status colour underneath — blue for checked in, green for seated. The reset time after the visit does not count. If they have left, press Complete; if they are lingering, press Still here, which clears the edge until the new end passes. It is the same rule as the “Running over” badge on the List.

What does a bar with a dashed outline mean?

The party’s table is Suggested: Riserva picked it and may still move it to fit another party. Tap the bar and press Keep in the party panel’s Table section to make it yours. The outline turns solid once the party checks in.

What does a see-through bar with a dashed outline and grey text mean?

It is someone checking out online right now, shown in the legend as “In checkout”. The places are held for them for a few minutes.

What does a red outline around a bar mean?

The reservation is Overbooked: an online guest’s order arrived for a time that was already full, and Riserva kept it. Tap it to see the details and decide where the party sits.

What does the small red dot on a bar mean?

The reservation has money due, either an unpaid balance or a saved card that was refused. Tap the bar: the party panel’s Payment section shows the amount with Collect, which opens the reservation’s Payment card. See also: Payment policies and money states

What does the small purple diamond on a bar mean?

The guest is a club member.

What does the padlock on a bar mean?

The party’s table is Locked: nobody, including Riserva, can change it until someone unlocks it with the padlock button in the party panel’s Table section. A locked party cannot be dragged.

What is the number at the right end of a bar?

It is the party size: how many guests are in that party.

What are the thin stripes right after a bar?

They are the turn time: the minutes after the guests’ visit when the table is still held for clearing and resetting. Nobody else can be seated there until the stripes end.

Why are two bars stacked in one row?

They overlap in time. That is normal on a shared table, where several parties sit together. On an ordinary table it means two parties have been given the same table at the same time, which only happens when someone chose Assign anyway.

What does “0 / 4” mean in a “Guests per time” row?

It is guests booked out of guests allowed for that start time. “0 / 4” means nobody has booked yet and up to four can; “2 / 4” means two places are left. Guests who already came and went still count as booked. See also: Capacity strategies explained

What does “+2” in grey inside a block mean?

Two more guests are checking out online for that start time right now. They are not booked yet, but their places are held for them, and the fill already includes them.

What does the blue fill inside a block mean?

It shows how full that start time is, counting booked guests and guests checking out. Half filled means half the places are taken.

Why is a block green?

That start time is full: booked guests plus guests checking out have reached the limit.

Why is a block dashed with grey numbers?

Nobody has booked that start time yet.

Why does a block show only one number, like “6”, with no ”/”?

That experience has no limit on guests, or the start time is not on today’s schedule, so there is no figure to count against. The number is simply how many guests are booked.

What do the diagonal hatched stretches mean?

Nothing is scheduled or booked at that venue during that time. The legend calls it “Closed”. It is not a blackout, just time with nothing on it.

What is the red vertical line with a time on it?

It is now, in that venue’s own clock. It only appears when you are looking at today.

What does the legend at the bottom of the Timeline mean?

It names each colour and mark: Arriving (white), Late (yellow), Checked in (blue), Seated (green), Done (grey), Running over (an amber edge on top of the status colour), In checkout (dashed, see-through), Suggested (dashed outline), Locked (padlock), Payment due (red dot) and Closed (hatched).

Why does a bar or a table have a dark outline?

It is the one you tapped; the panel on the right is showing it. Press Close in the panel to clear the selection.

What does “Nothing is scheduled or booked on this day.” mean?

No experience has times at this location on this day and nobody is booked. Tables and experiences appear on the days they run.

Host › Map

What is the Map?

It shows each room drawn on a floor map as it stands right now: who is at each table, which table is waiting on a late party, which party is running over, and when each free table is next booked. Experiences that do not use tables appear as tiles beside the room. The time ruler moves the whole Map — every room and every tile — to the same moment. Drag to move around, pinch to zoom, or use +, − and Reset. See also: Tables and the floor map

What does the legend under a room on the Map mean?

At now it names Free (white), Late (yellow), Checked in (blue), Seated (green), Running over (an amber edge on top of the status colour), Suggested (dashed outline) and Payment due (red dot). When you move the time ruler to another time, Late, Checked in, Seated and Running over give way to Booked at this time (grey), because they only describe now.

What does ”· as of 2:15 PM” next to a room’s name mean?

It is the moment the room is drawn for: now, in that venue’s own clock. It disappears when you move the time ruler to look at another time.

What does a white table on the Map mean?

The table is free at this moment. The small text under its name shows when its next party is due, for example “7:30PM”, or is blank when nothing else is booked there today. The legend calls it “Free”. A white table showing a guest’s name and party size instead is held for a party whose time has just started: they are still to arrive and not yet late. It turns yellow once they are more than 10 minutes past their time.

What does a yellow table on the Map mean?

The party booked at this table is late: they are more than 10 minutes past their reservation time and have not checked in. The legend calls it “Late”. It is the same 10 minutes the Timeline, the party panel and the Shopify POS register use. In the first 10 minutes after the time starts the table stays white, with the party’s name on it, like any party still to arrive.

What does a blue table on the Map mean?

The party at this table has checked in but is not seated yet. The legend calls it “Checked in”.

What does a green table on the Map mean?

The party at this table is seated. A seated party keeps the table green until the visit is completed, however long they stay; once they run over, the table also gets an amber edge.

What does an amber edge around a table on the Map mean?

The party at that table is running over: checked in or seated and past its reservation’s end time, or past the extra time a Still here press gave it. The legend calls it “Running over”. The table keeps its status colour (blue for checked in, green for seated). Tap it and press Complete if they have left, or Still here if they are lingering. It shows only for now, not when you look at another time on the ruler.

What does the text under a table’s name mean, like “Rossi 4”?

It is the last name and party size of whoever holds the table at this moment. On a free table it is the start time of the next party instead. Long text is cut short with ”…”; tap the table to see everything.

What does “6 of 8” on a table mean?

It is a shared table: 6 guests hold seats there at this moment out of 8 seats. Shared tables show how full they are rather than one party’s name.

What does the red dot on a table mean?

The party holding that table right now has money due. Tap the table (and the party, if the table lists several): the party panel’s Payment section shows the amount with Collect, which opens the reservation’s Payment card.

What do a padlock or a dashed outline on a table mean?

A padlock means the party’s table is Locked. A dashed outline means the table is only Suggested for that party: Riserva picked it and may still move it.

What is the yellow “Unassigned” strip at the top of a room?

It lists parties booked into this room who have no table yet, each as a chip reading time, guest and party size, such as “2:00 PM · Rossi · 4”. Chips named “Checking out” are online guests mid-payment. Tap a chip to open the party panel; to give it a table, press Choose in the panel’s Table section, or drag its bar on the Timeline.

What is the time scale across the top of the Map?

It is a time ruler with the same hours as the Timeline. The red marker is now; the line under it reads “Now. Drag the time to look ahead.” Drag the marker, or click anywhere on the scale, to see the Map at another time of the day, in 15-minute steps. There is one moment for the whole Map: moving the ruler in one room moves every room and every tile with it.

Why did the marker turn amber and the room get a dashed amber frame?

You are looking at another time, not now. The line under the scale says, for example, “Showing 7:30 PM — not now”. Press Back to now to return; it brings the whole Map back. While you look at another time you cannot drag parties between tables.

What does a grey “Booked at this time” table mean?

When you look at another time on the ruler, a table that has a party booked for that moment is grey. Late, checked in and seated only describe now, so at any other time a table is simply booked or free.

Why does the Map say “Drag the time to see who is booked when.” and every table looks free?

You are looking at a day that is not today, so there is no “now” to draw. Each table shows the time of its first party that day. Drag the time to see who is booked at a particular moment; Back to the day’s start returns.

What does “This venue’s tables are not placed on a floor map yet…” mean?

The venue has tables but nobody has drawn where they stand, so there is no room to show. Draw it under Settings → Venues & floor maps. The Timeline shows every table meanwhile. See also: Tables and the floor map

What does “Not on the map: T7, T8” mean?

Those tables exist but have not been placed on the floor drawing, so the Map cannot show them. They still appear on the Timeline. Place them in the floor map editor. See also: Tables and the floor map

What do the tiles beside the map mean, like “Now · 2:00 PM — 8 of 12 guests”?

Each tile is an experience that sells places per start time, such as a tasting or tour. “Now · 2:00 PM” is the start time under way, “8 of 12 guests” is how many are booked out of the limit, the bar fills as it sells, and “3 arrived · 2 in checkout” is who has checked in and who is paying online right now. “Next · 3:00 PM · 4 of 12” is the following start time. When you move the time ruler, the tiles follow it: see the entry on “At this time”.

What does “At this time” on a tile mean?

You moved the time ruler away from now, and the tile shows the start time running at the moment you picked instead of “Now”, with “Next” for the one after it. Away from now a tile shows only what is booked: the bar fills in grey, like a “Booked at this time” table, and “arrived” is not shown, because arrivals only describe now. “No more start times after this” means nothing starts later that day. Press Back to now to return.

What do “First · 10:00 AM” and “No more start times today” on a tile mean?

“First” appears on a day that is not today, before you pick a time on the ruler, and shows the experience’s first start time. “No more start times today” means every start time for that experience today is over.

What does a tile reading “Whole venue · 40 guests” mean?

It is a reservation for the entire venue, such as a private event: the tile shows the time it holds the room, the guest’s name and the party size. The one holding the room at the moment shown is marked “Now” (or “At this time” when you moved the ruler, with a grey fill), the following one “Next”. An amber edge and ”· Running over” mean the party is still on the property past its end; press Complete or Still here from the panel.

What are the “On today” and “Also on today” cards?

They gather the venues that have no tables, such as a tasting bar, a tour or a lawn, as tiles in one card, so the whole property fits on one screen. The card is called “Also on today” when there is also a drawn room above it. When the day shown is not today, the same card reads “On this day” or “Also on this day”.

Why does the “Also on today” card say ”· showing 7:30 PM”?

You moved the time ruler, and the tiles in that card follow it: they show what is booked at 7:30 PM, not now. Press Back to now under the ruler to return.

Host › The party panel

What is the panel that opens beside the List, the Timeline and the Map?

It is the party panel: everything about one party and everything you can do for it, laid out the same way whether you clicked a row on the List, a bar on the Timeline or a party on the Map. From the top: the guest and the reservation code, the badges, the buttons, then titled sections — Reservation, Guests, Table, Payment — and Open reservation at the bottom. A section that has nothing to say is left out. On a narrow screen the panel appears under the view instead of beside it. See also: Running service with the Host view

What do “RES-…” and “Close” at the top of the party panel mean?

“RES-…” is the reservation’s code, the one the guest has on their confirmation. Close hides the panel and clears the selection. A finished visit opened from the Timeline or Map may show no code.

What do the badges in the party panel mean?

The first badge is the party’s status — Confirmed or Pending payment (still to arrive), Checked in, Partial check-in, Seated or Completed, with a small progress circle — or a yellow Late in its place once an arriving party is more than 10 minutes past its time. Then a red Booked after its time when the guest paid after the visit had ended, a payment badge when money matters at the door (red Payment due, Partially paid or Charge failed; blue Card on file, Charge scheduled or Charging), an orange Overbooked, and a yellow Running over, whose tooltip says when the visit ends by itself.

What is the dark button in the party panel?

It is the party’s likely next step: Check in for a confirmed or pending party, Seat for a checked-in party, Complete for a seated one. It is the same word as the one button on the party’s List row. A completed visit has no buttons.

Which button sits beside the dark button?

At most one. A checked-in party gets Complete beside Seat — or Still here instead while it is running over. A seated party gets Still here beside Complete, only while running over. A party still to arrive gets none.

What is under ”⋯” in the party panel?

The rarer steps, likely first and red ones last. For a party still to arrive: Adjust party size, then No-show (in red; it asks you to confirm). For a checked-in party: Complete (when Still here took its place beside Seat), Edit guests here (parties of two or more), Undo check-in. For a seated party: Edit guests here (parties of two or more), Unseat.

Does “No-show” in the party panel ask me to confirm?

Yes. ⋯ → No-show opens the “Mark no-show” window, on the List, the Timeline and the Map alike; Keep reservation backs out. It is offered for any party still to arrive, whether or not it is late. A no-show pressed by mistake is taken back with Undo no-show on the reservation’s page.

What is in the party panel’s “Reservation” section?

Time is the reservation’s start and end, Party the number of guests booked, Experience what they booked, Where the venue (and the location, when you are viewing all locations), and Notes the guest’s special requests. A line is left out when there is nothing to show.

What is the “Guests” section with “2 of 4 here”?

It appears only while part of a checked-in or seated party is here: a host recorded two of four. All here records the whole party at once — the section disappears and the badge goes back to “Checked in”. Edit opens the “Guests here — …” window to set another number. The reservation is still for the whole party either way. See also: Running service with the Host view

What does “All here” do?

It records that the whole party has now arrived, in one tap. The row’s “2 of 4 here” goes back to “party of 4”, the “Partial check-in” badge back to “Checked in”, and the reservation’s history adds “All 4 guests here”. It changes nothing else — no check-in is repeated and no money moves.

What is the “Table” section in the party panel?

It appears for a party on a venue with a floor map, until the visit is complete. It names the table or tables and how the table was chosen: “T2 · Riserva’s pick”, “T2 · Assigned” or “T2 · Locked”, or “No table yet”. Its buttons are Keep, Change (or Choose), the padlock, and Let Riserva choose, each shown only when it applies.

What does “Riserva’s pick” after a table name mean?

Riserva chose this table, and nobody has made it a host’s choice. While the party is still to arrive, Riserva may give it a different table to make room for another reservation; press Keep to make it yours. Once the party has checked in, Riserva no longer moves it, the Keep button goes away, and giving the table to someone else asks you to confirm with Assign anyway.

What do “Assigned” and “Locked” after a table name in the party panel mean?

“Assigned” means a host chose this table or pressed Keep; Riserva works around it and never moves it. “Locked” means the same, plus nobody can change it until someone presses the padlock button again to unlock it.

What does “No table yet” in the party panel mean?

The party booked a table experience but has no table. Press Choose to pick one on the reservation’s page, or, on the Timeline, drag the party’s bar onto a table’s row.

What is the “Payment” section in the party panel?

It appears when money matters at the door. “120.00due"iswhatisowednow,and∗∗Collect∗∗opensthereservation′sPaymentcard,whichoffersapaymentlink,Markpaidon−siteandWaive(totakeacardatthecounter,usetheReservationstileinShopifyPOS).Asentencesuchas"Charges120.00 due" is what is owed now, and **Collect** opens the reservation's Payment card, which offers a payment link, Mark paid on-site and Waive (to take a card at the counter, use the Reservations tile in Shopify POS). A sentence such as "Charges 120.00 from Sun, Sep 20, 2026, 2:00 PM · collected within the hour” says a saved card will pay — do not collect again. “Bill credit $40.00 — applied at the register” means the guest’s prepaid fee counts toward what they buy; apply it with the Bill credits tile in Shopify POS. See also: Payment policies and money states

What does “Open reservation” do?

It goes to the reservation’s own page: the full details, the history, the Payment card, editing, cancelling and table choice from the full list. See also: A reservation’s page

Why does a finished party have no buttons in the party panel?

The visit is complete, so there is nothing left to do from Host, and the Table section is gone too. Press Open reservation to see the reservation, take a payment, or look at its history.

Host › Timeline and Map › Table and time-slot lists

What does tapping a table show?

A list of that table’s day: the table’s name, its venue and seats, and every party booked at it in time order, including finished visits. Tap a party to open its party panel. “No parties at this table on this day.” means it has no reservations. A table with exactly one party opens straight to that party’s panel.

What does a block’s list show, like “Estate Tasting · 2:00 PM”?

The line under the name gives the venue, guests booked out of the limit (“8 of 12 guests”), how many have arrived, and how many are checking out; then the parties booked at that start time. Tap a party to open its party panel. “Nobody is booked at this time yet.” means it is empty. A start time with exactly one party opens straight to that party’s panel.

What does “not on today’s schedule” in a block’s list mean?

A reservation sits at a start time that is not on the experience’s schedule for today, usually because staff booked it at a special time or the schedule changed after it was made. The party is still expected.

What does a line like “2:00 PM – 3:30 PM · 4 guests · Estate Tasting” mean in a table’s or block’s list?

It is the party’s booked time, party size and experience. When a host recorded that only part of the party came, the party size reads like “2 of 4 here” instead, or “2 of 4 arrived” once the visit is completed. The badge beside the name is its status (or “Late”, or “In checkout” for a guest paying online), with a red “Payment due” when money is owed.

What does ”‹ T4” at the top of the party panel do?

You opened this party from a table’s or a start time’s list, and that list is one tap away: press it to go back to everyone at “T4” (or at the start time it names). Close closes the panel altogether.

Host › Tables

What does “Suggested” mean for a table?

Riserva picked the table when the reservation was made, and may move the party to another table to fit a later reservation in. Guests are not told a table. It shows as a dashed outline, and as “(suggested)” on the List and day sheet. See also: Running service with the Host view

What does “Assigned” mean for a table?

A host chose the table, by picking it, dragging the party onto it, or pressing Keep. Riserva never moves it and plans other parties around it.

What does “Locked” mean for a table?

The table is assigned and protected: nobody can change it, or drag the party, until someone unlocks it with the padlock button in the party panel. Use it when you have promised a guest a particular table. It shows as a padlock.

What does “Unassigned” mean?

The party booked a table experience and has no table. Usually the time is so full that no seating fits everyone without moving someone mid-visit, so Riserva leaves it for you. On the Timeline, drag the party’s bar onto a table’s row, or free a table and press More actions → Suggest tables.

What does “Keep” do?

It turns Riserva’s pick into an assigned table, so Riserva stops moving it. Any other party that Riserva had pencilled onto that table for the same time is moved to another table straight away. It is offered only while the party is still to arrive.

What does the padlock button in the party panel’s Table section do?

Pressed once (“Lock the table”), it fixes the party to its table so nobody changes it by mistake: a locked party cannot be dragged, and Change and Let Riserva choose disappear. The button then stays pressed; press it again (“Unlock the table”) to remove the lock. The table stays assigned to the party after unlocking, and can be changed or dragged again.

What does “Let Riserva choose” do?

It hands the table choice back to Riserva: the party’s table becomes Riserva’s pick again, which Riserva may move to fit other parties. It appears only on an assigned table; unlock a locked one first. The reservation’s history reads “Table T2 handed back to automatic seating”.

What do “Change” and “Choose” in the party panel’s Table section do?

They open the reservation’s page, where you pick a table from the full list. “Choose” appears when the party has no table yet. Neither appears on a locked table. For a quick move within the same room, dragging on the Timeline or Map is faster. See also: A reservation’s page

What does “Suggest tables” in More actions do?

It asks Riserva to choose tables again for every party on the day in view that does not have a host’s choice, for example after you freed a table or changed the floor. Tables a host assigned or locked are never touched.

What do the messages after “Suggest tables” mean?

“5 parties have a suggested table.” means it worked for everyone. ”… 2 still need one — no free table fits for their time.” means those parties stay Unassigned because no table is free. ”… Riserva could not find a table for them on a day this full. Choose one by hand.” means the day was too complicated to solve in time. “No parties on this day are waiting for Riserva to choose a table.” means there was nothing to do.

How do I move a party to another table?

On the Timeline, drag the party’s bar onto another table’s row. On the Map, press and hold the table the party is at, then drag to another table. On a touch screen, hold for a moment first; a quick swipe scrolls instead. The party is assigned to the new table when you let go. See also: Running service with the Host view

What do the highlighted rows and ”→ T4” or “drop on a table” mean while dragging?

The tables you can drop on light up; only tables in the party’s own room qualify. The label following your finger names the table under it (”→ T4”), or says “drop on a table” when you are not over one. Letting go anywhere else does nothing.

What does “T4 seats up to 4; this is a party of 6.” with “Assign anyway” mean?

You dropped a party on a table smaller than the party. Riserva asks before doing it: press Assign anyway if you are adding chairs, or Cancel to leave the party where it was.

What does “That table is already assigned to RES-… in this time window.” with “Assign anyway” mean?

Another party already holds that table at that time, either because a host chose it or because that party is already here. Assign anyway puts both parties on the table, a deliberate double-booking. Cancel leaves things as they were.

What happens to a party Riserva had pencilled onto a table I just took?

If that party is still to arrive, Riserva moves it to another table straight away, or to the Unassigned row if nothing fits. A party that is already on the property is never moved; taking its table needs Assign anyway.

Do suggested tables affect what guests can book online?

A suggestion for a party still to arrive does not: Riserva can always move it, so it never costs you a sale. Assigned and locked tables do count, and so does any table a checked-in or seated party is at. Riserva also refuses an online reservation only when it can prove no seating would fit everyone.

What does “Late” mean?

A party still to arrive that is more than 10 minutes past its start time, the same 10 minutes the Shopify POS register uses. It is shown as a yellow bar on the Timeline and as a yellow “Late” badge in place of the status badge in the party panel. On the Map, the party’s table turns yellow at the same moment. Check the party in when they arrive, or use ⋯ → No-show in the panel if they will not.

Host › Timeline and Map › When something is refused

Why can’t I drag this party?

Only a party on a table experience can be moved, and not when its table is locked, its visit is finished, or it is someone still checking out. On the Map you also cannot drag while looking at another time on the ruler, or pick a party up from a shared table; use the Timeline for those.

Why won’t the party drop on a table in another room?

A reservation belongs to one venue, so dragging only offers tables in the same room. Moving a party to another room changes the reservation itself; do it from the reservation’s edit page. If it happens anyway, you see “That table is not in this reservation’s venue.” See also: Editing a reservation

What does “This table is locked. Unlock it before changing it.” mean?

The party’s table is locked, so it cannot be changed. Press the padlock button in the party panel’s Table section to unlock it, then move it.

What does “The table changed a moment ago — it is now T4. Look again, then choose.” mean?

Riserva gave the party a different table between the moment your screen drew it and your tap, so your Keep or Lock was not applied. Look at the new table and press again if it is the one you want.

What do “That table is no longer on the floor” and ”…— choose another.” mean?

The table was removed or switched off in the floor map, so it cannot be kept or assigned. Choose another table. See also: Tables and the floor map

What does “That table is already assigned to RES-… — choose another.” mean?

You pressed Keep or Lock on a suggested table that another party now holds for the same time. Pick a different table for this party.

What do “This table is already confirmed.”, “This table is already locked.” and “This table is not locked.” mean?

The table is already in the state you asked for, usually because someone changed it on another device. Reload the page to see its current state.

What do “Unlock the table first.” and “Riserva is already choosing this table.” mean?

You asked Riserva to take back a table choice it cannot take back yet. A locked table must be unlocked first; a suggested table is already Riserva’s choice.

What does “This party has no table yet.” mean?

There is no table to keep or lock. On the Timeline, drag the party’s bar onto a table’s row, or press Choose in the party panel’s Table section.

What does “The reservation changed — refresh and try again.” mean?

The reservation was moved or edited at the same moment, so your change was not applied. Reload the page and try again.

What does “Riserva couldn’t work out the tables just now — try again in a moment.” mean?

Suggest tables could not finish. Nothing was changed; try again shortly.

What do “Not available.” and “Pick a day first.” mean?

“Not available.” means table features are not switched on for your store, so the action was refused. “Pick a day first.” means the page lost track of the day; reload it.

Host › Day sheet and export

What does “Print day sheet” do?

It opens the day you are viewing as a printable page in a new window and opens your printer dialog. It covers the location you have selected, or every location with All locations. See also: Running service with the Host view

What do “Reservations”, “Covers” and “Large parties (6+)” at the top of the day sheet mean?

“Reservations” is how many reservations are on the sheet. “Covers” is the total number of guests across them. “Large parties (6+)” is how many parties have six or more guests.

Who is on the day sheet?

Every reservation for that day and location except cancelled ones, in time order, including parties already completed or marked no-show. Waitlist parties are not on it.

What does the ”◆” next to a guest on the day sheet mean?

The guest is a club member.

What are the two lines in the day sheet’s Status column?

The top line is the reservation’s status, such as Confirmed or Checked in. The second line is its payment state, such as Paid, Payment due or Charge scheduled, so you know who owes money before they sit down. See also: Payment policies and money states

What does “(suggested)” after a table on the day sheet mean?

Riserva picked that table and may still move it before the party arrives, so it is not a promise. A table followed by “(seats 3, 4)” names particular seats at a shared table.

What is in the day sheet’s Notes column?

The guest’s special requests, their answers to your guest questions, any add-ons they bought, and staff notes, separated by dots. See also: Intake questions

What does “Export day” download?

A spreadsheet file (CSV) of the same day as the printed sheet, with every detail in its own column. It starts with the date and the day’s counts, then one row per reservation. The download is logged because it contains guests’ contact details.

What do the columns in the day export mean?

“Guests” is the party size; “Tables” is the table or tables; “Payment state” is the payment status; “Member” reads Yes or No; “Code” is the reservation code; “Booked at” is when the reservation was made, in the property’s time. “Time” is the start time in your store’s time format (Settings › Regional formats), for example 2:00 PM or 14:00. A “Location” column is added for All locations.

Host › Day sheet and export › When something is refused

What do “Your browser blocked the day sheet’s window — allow pop-ups for this page and try again.” and “The day sheet couldn’t be prepared — try again.” mean?

The first: the browser refused the new window the printable sheet (or the timeline) opens in. Allow pop-ups for the Shopify admin, then try again. The second: the window opened but the sheet itself could not be fetched — a connection hiccup; try again.

What does “The day-sheet export failed — try again.” mean?

The download did not complete, usually because of a brief connection problem. Try again; if it keeps failing, reload the page first.

What does “Print timeline” under More actions do?

It opens a printable version of the Timeline for the day and location you are looking at, and starts the print dialog. Each room prints on its own pages, a few hours per page so names stay readable; hours with nothing booked are left out. Each party is a numbered bar, and a key under the grid gives the number’s time, table, status and whether the guest is a member or still owes. It is made for black-and-white printers: status shows as text and as a pattern, not a colour. There is no “now” line; the header says when it was printed. See also: Running service with the Host view
