Every reservation carries two separate things: a status (where the party is in its visit) and a payment state (where its money stands). On top of those sit a few marks — Overbooked, Booked after its time, Member, Late, Running over — and, on a venue with a floor map, the state of its table. This page lists every one of them in a table per family, then answers “what does it mean?” for each badge on its own. In the Riserva admin a status wears the same colour on every screen — the Host page, the reservations list, the reservation page, Home and the Riserva cards on Shopify’s order and customer pages. The Reservations tile in Shopify POS uses the register’s own badge colours, so there the word on the badge is what to go by.

Reservation status

“In checkout” is not a reservation status. On the Host Timeline it marks places held for a guest who is paying online right now; it becomes a reservation if they finish, or disappears within about 12 minutes if they do not.

What do the colours and the small circle on a status badge mean?

The colour says where the party is: Pending payment yellow, Confirmed grey (the ordinary state of an upcoming reservation wears no colour), Checked in blue, Partial check-in yellow, Seated green, Completed grey, No-show orange and Cancelled red. The small circle in front tells the arrival story: an empty circle for a party still to come (Confirmed or Pending payment), a half-filled circle when only part of the party is here (Partial check-in, or Seated with guests missing), and a full circle when everyone is here. Completed, No-show and Cancelled carry no circle. See also: Running service with the Host view

What does “Pending payment” mean?

“Pending payment” means a guest placed an online order but Shopify has not marked it paid yet, usually because they chose a bank transfer or a manual payment method. The reservation is real and holds its place. It turns into Confirmed by itself when Shopify marks the order paid, or you can press Confirm yourself if you are happy to hold it anyway. See also: Payment policies and money states

What does “Confirmed” mean?

“Confirmed” means the reservation is booked and the party has not arrived yet. Every upcoming reservation reads Confirmed, including charge-later ones whose card will be charged later. The badge is plain grey with an empty circle on purpose: it is the expected state, so it wears no colour. The next step is Check in when they arrive.

What does “Partial check-in” mean?

“Partial check-in” is a Checked in party where only some of the guests are here yet — a host chose Partial check-in… (from the arrow on Check in in the admin, or the button beside Check in on the iPad), or lowered the count afterwards with Edit guests here. The badge is yellow with a half-filled circle; All here turns it back into Checked in (blue, full circle). A seated party keeps the word Seated with the half circle. Nothing about the money or the party size changes. See also: Running service with the Host view

What does “Checked in” mean?

“Checked in” means the party has arrived and someone checked them in. The party moves to On property on the Host page. Checking in also charges a saved card that is still waiting for its charge date, except on an experience charged At the visit, whose card waits until the visit is closed out. The badge is blue with a full circle. From here you can Seat them or Complete the visit. A check-in pressed by mistake can be taken back with Undo check-in, unless it already charged the guest’s saved card or marked the reservation’s order fulfilled. See also: Running service with the Host view

What does “Seated” mean?

“Seated” means the party has sat down. It is a step in the visit, not a table choice — choosing a table happens separately. The step forward is Complete, and if nobody presses it Riserva ends the visit by itself when your Ending visits setting says. Unseat takes a Seat pressed by mistake back to Checked in.

What does “Completed” mean?

“Completed” means the visit is over. Either someone pressed Complete, or Riserva ended the visit by itself after its end time; the reservation’s timeline says which. A completed reservation can still take a payment link for money that is owed.

What does “No-show” mean?

“No-show” means the party never came. Either someone marked it, or your store marks no-shows by itself (Settings → Reservations → No-shows: a set time after the reservation, or at the end of the day) and the party never checked in — the reservation’s timeline says which. The guest is not emailed and nothing is charged automatically; a balance that is owed can still be collected with a payment link. If the guest turns up after all, Undo no-show (on the reservation’s page, or in the Done tab of the Reservations tile in Shopify POS) puts it back to Confirmed, or Pending payment, ready to check in. What does “Cancelled” mean?

“Cancelled” means the reservation was cancelled by your team, by the guest online, or because its Shopify order was cancelled. Its places are back on sale straight away. Cancelled reservations are never deleted: they stay in the Cancelled tab of the reservations list and in reports. See also: Cancellations and refunds

Payment state

Card on file, Charge scheduled, Charging and Charge failed appear only when charge-later payment is turned on for your store. Refunded and Partially refunded appear on the reservation’s Payment card in place of the state’s own badge.

What does “Paid” mean?

“Paid” means the money for this reservation has been collected: at checkout, through a payment link, at the register, from a saved card, or because a staff member pressed Mark paid on-site. There is nothing left to collect. See also: Payment policies and money states

What does “Payment due” mean?

“Payment due” means money is owed and nothing has been collected yet. It is normal for a reservation your team took by phone, as a walk-in or at the register on a priced experience: Riserva never pretends a phone reservation was paid. Collect it from the reservation’s Payment card with Create payment link, at the register, with Mark paid on-site, or forgive it with Waive payment. Payment due reservations also appear in the Needs attention tab of the reservations list. See also: Payment policies and money states

What does “Partially paid” mean?

“Partially paid” means some money was collected and some is still owed, usually because guests were added after the party had paid. The Payment card says how much is still owed, for example “$75 due for guests added after payment”. Collect it the same ways as Payment due. See also: Edit a reservation

What does “Awaiting payment” mean?

“Awaiting payment” means an order or a payment link exists for this reservation, but the money has not arrived in full. It shows after you create a payment link that the guest has not paid yet, on an online order whose payment has not cleared, and when a payment link was paid for less than it asked. It turns into Paid by itself once the money arrives. See also: Payment policies and money states

What does “Not required” mean?

“Not required” means there is nothing to collect. The experience is free to book, the balance was waived before anything was paid, or the reservation was cancelled before any money was taken.

What does “Card on file” mean?

“Card on file” means the guest’s card was saved at an online checkout and will be charged later. Nothing has been charged yet, and there is nothing for you or the guest to do before the visit. On an experience charged at check-in, Check in charges it — do not ring the reservation up at the register as well, or the guest pays twice. On an experience charged At the visit, the card is charged when the visit is closed out, unless the guest settles the fee at the register first; whichever happens first is the only charge. The reservation’s Payment card says which applies. See also: Payment policies and money states

What does “Charge scheduled” mean?

“Charge scheduled” means the guest’s card was saved at an online checkout and Riserva will charge it automatically before the visit, at the time shown on the reservation. Charges are collected once an hour, so the money lands within the hour after that time. The reservation is confirmed and nothing needs doing; Charge now on the Payment card collects it early. See also: Payment policies and money states

What does “Charging” mean?

“Charging” means Riserva has asked Shopify to charge the saved card and Shopify has not confirmed it yet, so the money has not landed. Do not collect the money another way while it says Charging. It normally turns into Paid, or into Charge failed if the card is refused or Shopify never confirms it within an hour.

What does “Charge failed” mean?

“Charge failed” means Riserva tried to charge the guest’s saved card and it did not work, so the balance is now owed. The reason is shown on the reservation’s Payment card, for example “The guest’s saved card has expired — ask them for a new one.” Collect it with Retry charge, a payment link, the register, or Mark paid on-site, or forgive it with Waive payment. When the card was declined, expired or removed, the guest is also sent the “Payment failed” email, unless you switched it off; when Shopify simply never answered, the guest is not emailed. See also: Payment policies and money states

What does “Refunded” mean?

“Refunded” on the Payment card means everything the guest paid has gone back to them, from a cancellation refund or refunded add-ons. A party that simply got smaller keeps its Paid badge, because the seats that remain are paid for. See also: Cancellations and refunds

What does “Partially refunded” mean?

“Partially refunded” on the Payment card means some of what the guest paid has gone back to them, for example a cancellation refund that the policy limited, or one refunded add-on. See also: Cancellations and refunds

Table assignment (venues with a floor map)

These appear only on venues that use a floor map, and only where the Host Timeline and Map are switched on for your store.

What does “Suggested” mean on a table?

“Suggested” means Riserva picked this table for the party and may still move it to fit another party. While the party is still to arrive, a suggestion never stops a guest from booking online. Press Keep to make it yours, the padlock to fix it, or Change to pick another. Once the party checks in, Riserva stops moving their table and the dashed outline turns solid. See also: Running service with the Host view

What does “Assigned” mean on a table?

“Assigned” means a host chose the table, or pressed Keep on Riserva’s suggestion. Riserva never moves an assigned table; it works around it. To give the choice back to Riserva, press Let Riserva choose in the party panel’s Table section — the timeline then reads “Table … handed back to automatic seating”.

What does “Locked” mean on a table?

“Locked” means the table is assigned and nobody, Riserva included, can change or clear it until someone presses the padlock again (“Unlock the table”) in the party panel’s Table section. Use it when you have promised a guest a particular table. A locked party cannot be dragged on the Timeline or Map.

What does “Unassigned” mean?

“Unassigned” means the party booked a table experience but has no table yet, usually because the time is too full for Riserva to fit everyone. These parties sit in an Unassigned row at the top of their venue so nobody is missed. Drag the party onto a table, or use More actions → Suggest tables after you free one. Experience status and who can book

What does “Draft” mean on an experience?

“Draft” means the experience cannot be booked by guests or staff. Existing reservations stand. A brand-new experience reads “Draft — not yet published” until you publish it for the first time; setting an Active experience back to Draft takes it off sale without touching its reservations. See also: Publish an experience

What does “Active” mean on an experience?

“Active” means the experience is live: guests and staff can book it, and publishing creates or updates its Shopify product. The experiences list and the experience’s own page both call it Active. See also: Publish an experience

What does “Archived” mean on an experience?

“Archived” means the experience is retired: it cannot be booked and is hidden from the experiences list unless you filter for it. Existing reservations and reports that used it are untouched. See also: Publish an experience

What does “Members only” mean on an experience?

“Members only” means only guests recognised as members, from their Shopify customer tags, can book the experience online. Your staff can always book it. Non-members see it on your store’s Experiences list with no times; pressing Book opens a “Reserved for members” notice with a button to join your club — unless “Show it to non-members as locked, with a link to join” is unticked on the experience, in which case they never see it listed. If no member tags are set up yet, nobody can book it online. See also: Party size, cutoffs and who can book

What does “Unlisted” mean on an experience?

“Unlisted” means the experience is invisible online: it has no listing and no product page, and its Shopify product is on the Point of Sale channel only. Staff book it from the admin and the register, and guests who hold a reservation can still manage it. It is made for private events. See also: Party size, cutoffs and who can book

Channel: how a reservation was made

What does the channel “Online”, “Phone”, “Walk-in” or “POS” mean?

The channel says how a reservation reached you. Online came through the booking widget on your storefront. Phone and Walk-in were booked by your team in the admin, who chose which one; parties seated from the waitlist are Walk-in too. POS was booked at the register. See also: The reservations list

Marks that sit beside a status

What does “Overbooked” mean?

“Overbooked” means an online guest finished paying for a time that filled up while they were checking out, so the reservation was kept even though the time is over its limit. Riserva never drops a paid guest. Decide how to fit the party in, or move the reservation from its edit page. Overbooked reservations appear in the Needs attention tab. A time your team overbooks on purpose does not get this badge; that shows on the reservation’s timeline as “capacity overridden”. See also: The reservations list

What does “Booked after its time” mean?

“Booked after its time” means the reservation’s online order was paid after its visit had already ended — usually a reservation left in a cart for days and paid later. Riserva keeps the reservation so the guest’s money is not lost, but does not send the guest a confirmation and never marks it a no-show by itself. The red badge stays, and the reservation sits in the Needs attention tab, until you move it to a new date with Edit reservation (the guest is then sent the “Reservation rescheduled” email) or cancel it to refund the guest. See also: Cancellations and refunds

What does the “Member” badge mean?

“Member” means the guest was recognised as a club member, from their Shopify customer tags, when the reservation was made. On the Host Timeline and Map the same thing is a small purple diamond. See also: Member benefits

What does “Late” mean?

“Late” means the party is more than 10 minutes past its start time and has not checked in. The rule is the same everywhere: the Host Timeline and Map draw the party yellow, the party panel shows a yellow Late badge, and the Reservations tile in Shopify POS shows the badge, once the start time is more than 10 minutes ago. Check them in when they arrive, or mark a no-show. If your store marks no-shows by itself (Settings → Reservations → No-shows), a Late party that never checks in becomes a no-show when that setting says. See also: Running service with the Host view

What does “Running over” mean?

“Running over” means a checked-in or seated party is past its reservation’s end time, or past the extra time a Still here press gave it. The rule is the same everywhere: a yellow badge on the Host list and in the party panel (hover it in the admin to see when the visit ends by itself), a yellow badge in Shopify POS too, and an amber edge on the party’s bar or table on the Timeline and Map (the colour underneath still shows checked in or seated). If they really are still there, press Still here to give them 30 more minutes — that clears it until the new end passes; if they have left, press Complete. Otherwise Riserva ends the visit by itself when your Ending visits setting says: a set number of minutes later (15 unless you changed it), at the end of the day, or never. See also: Waitlist, early arrivals and ending visits

What do “Refund owed” and “Refund due” mean?

Both mean a refund Riserva tried to send did not complete, so the money is still owed back to the guest. The reservation’s Payment card shows “Refund owed” with the amount, a Retry refund button, and Mark handled in Shopify for a refund you already sent from the Shopify order. The register shows the same thing as “Refund due”; refunds cannot be sent from the register, so open the reservation in the admin. See also: Cancellations and refunds

What does a “Credit $50” badge mean?

“Credit $50” means the guest prepaid a fee that comes off what they buy on the day, because the experience has Credit the fee toward the guest’s bill turned on. Apply it at the register with the Bill credits tile in Shopify POS. See also: Reservations in Shopify POS

What do “Waiting” and “Notified” mean on the waitlist?

“Waiting” means the party is on the waitlist and has not been told a table is ready. “Notified” means someone pressed Notify; the party is sent the table-ready email when an email address is on file, so tell a party without one out loud. Seating or removing the party takes it off the list. See also: Running service with the Host view

Who did it: the names on the timeline

Each line on a reservation’s timeline, and in the activity feed on Home, says who did it.

What does a name followed by ”· Admin” or ”· POS” mean?

A name followed by ”· Admin” means that staff member did it in the Riserva admin; ”· POS” means they did it on Shopify POS, on the register or iPad. When the register reports who entered their PIN, that person is named.

Why does the timeline say “Staff” or “POS” instead of a name?

“Staff” or “POS” without a name means Riserva knows a staff member did it but does not have their name yet. A staff member’s name becomes known the first time they open Riserva in the admin; until then their actions read “Staff” in the admin and “POS” at the register. Earlier lines fill in with the name once it is known.

What do “Guest”, “Shopify”, “System” and “Shopify Flow” mean on the timeline?

Guest means the guest did it themselves, such as cancelling online. Shopify means it came from your Shopify store, such as an order being placed, paid or refunded. System means Riserva did it automatically, such as the hourly card collection or ending a visit after its time. Shopify Flow means one of your Flow automations did it, for example adding a note.
