Reservations is every reservation you have, with views, search, filters and columns you can shape to how you work. The Book reservation button in the header starts a new one — see Booking a reservation for a guest.

Views

Six tabs across the top — the list opens on Upcoming, the working view:

Needs attention

This is the one to check daily. It collects anything unresolved:
  • Pending payment reservations
  • Overbooked reservations — a slot that filled during someone’s checkout, until the reservation is completed, cancelled or marked a no-show
  • Payment due — money owed and uncollected
  • Charge failed — a charge that was declined
  • Booked after its time — a reservation paid for after its visit had already ended, until you move it to a new date or cancel it (see A reservation’s page)
  • A saved-card charge held up — an add-on was added to the guest’s Shopify order and Shopify never confirmed the change, so the card waits until someone checks the order from the reservation page
  • Checked out with the wrong quantity — the order paid for a different number of guests than the party, until you settle the difference and press Mark handled on the reservation (see A reservation’s page)

Searching

The search box takes a code, name, email, phone, or Shopify order number. It looks across the whole reservation history, not just the current view, and takes the first 50 matches, latest visit first — then applies your view and filters to those. A very common name may need a more specific search (a code, an email) to reach an older visit. Partial codes work — typing 7K4M finds RES-7K4M.

Filters

On a date filter, one tap picks the start and a second the end; the chosen range shows under the calendar in your store’s date format, and Clear removes it. Applied filters show as pills you can clear individually, plus Clear all.

Sorting and columns

Sort by visit time, booked time or party size, each newest/oldest or high/low. Each view opens in its natural direction — chronological on the forward-looking tabs (soonest visit at the top), newest-first on All, Completed and Cancelled — and any heading click overrides it. The Date & time, Booked and Party column headings are clickable to sort. The Booked column — when each reservation was made, the same fact the reservation page’s Details card shows — is off by default; turn it on from the columns checklist when you’re working by booking date. Columns — the icon at the right end of the filter row opens a checklist. You can hide Experience, Venue, Channel (off by default), Booked (off by default) and Party; Code, Guest, Date & time and Status are always on. Your column choice is remembered per device, so the front desk’s iPad and your laptop can show different things.

Reading a row

  • Code — the reservation’s confirmation code
  • Guest — with a Member badge where the guest is a club member
  • Experience, Venue
  • Date & time
  • Party — right-aligned so the numbers line up as you scan
  • Channel — how the reservation reached you
  • Status — the status badge (with the same progress circle as the reservation page), plus Overbooked or a red Booked after its time where they apply

The 50-row limit

The list loads 50 reservations at a time, in the view’s order: on Upcoming, Today and Needs attention that’s the soonest 50 by visit; on All, Completed and Cancelled, the latest 50. A sort you pick yourself decides instead. When it’s full you’ll see:
Showing the first 50 — narrow the filters or search to see the rest.
Use search or the date filter rather than scrolling.

What’s not here

  • No bulk actions. You can’t select rows and cancel or export them together. Every change is deliberate and per-reservation.
  • No custom saved views. The six tabs are what there is.

Exporting

Export (next to Book reservation) downloads a CSV of full reservation details — guest contacts, party, guests arrived (when a host recorded who came), tables, money (paid, balance, refund owed, fee credit), special requests, intake answers, add-ons, and every lifecycle timestamp — plus staffing columns the table doesn’t show: Weekday, Visit end, Duration, and Lead time (how far ahead it was booked). Two scopes:
  • «N» matching this view and filters (the default) — exactly what you’re looking at: the current tab, filters, and search. Filter first, then export; that’s the workflow.
  • All reservations — the full book, newest visit first.
Exports cap at 5,000 rows; a capped file says so when it downloads — narrow the filters (the Booked range is good for this) and export again for the rest. The file opens directly in Excel or Numbers. Typical questions it answers: which weekdays run hottest (pivot on Weekday × Guests), how far ahead Saturdays fill (Lead time), what the campaign week brought in (Booked filter first, then export).
